CADADESIGNGROUP is a multidisciplinary design consultancy specialising in interior and graphic design, brand development, creative intelligence, marketing communications and visual identity programmes.

An opportunity has arisen to work as a PERSONAL ASSISTANT, providing right hand support to one of the founding Directors.


CADADESIGNGROUP continues to grow from strength to strength. The team are currently working on a diversity of high-end projects across the world. With this in mind, the role will suit confident, creative and commercially aware candidates.

The role is varied and busy, involving extensive project support, client liaison, diary management, thorough ability to manage project administration, full and detailed international travel and itinerary coordination as well as taking and transcribing minutes/notes of meetings. The role is demanding but rewarding.

Due to the nature of the role whereby the PA to the Director takes dictation of all correspondence given verbally by the Director, it is necessary that the candidate has a typing speed of 60 WPM.

All applicants must have a proven Personal Assistant and Office/Studio Management background, be organised, proactive and committed with a positive ‘can do’ attitude.

Occasional personal business support will be required.

A high level of competence in Microsoft Office Suite is essential, and a working knowledge of Creative Suite 5 would be desirable.

Main duties and responsibilities

  • Provide one-to-one PA support to the Director.
  • Administration/management of project database (Traffic).
  • Take verbal dictation from the Director of all correspondence.
  • Monitor emails - both those of the Director and your own.
  • Provide project team support.
  • Regular international travel coordination, including the production of detailed itineraries.
  • Provide support to the Marketing Manager, together with management of the CADADESIGNGROUP Blog.
  • Support the Director in the production of fee proposals and distribute to all necessary persons to schedule finance and deliverables into the studio.
  • Charge of recruitment for the studio, overseeing the process from beginning to end.
  • Produce minutes, schedules and all non-deliverable information pertaining to Director’s projects.
  • Managing multiple digital diaries.
  • Field incoming phone calls for all studio members in a professional and friendly manner.
  • Undertake a regular stock take of all office consumables and design stationary, replenishing accordingly.
  • Filing and archiving of dead project files.

The Candidate and Necessary Competencies

  • Experienced Personal Assistant
  • A natural organiser - you will have the ability to multi-task and prioritise workload.
  • A sense of humour. The Director is highly personable and you will be working very closely with him. It is essential that you build a rapport, with the upmost respect.
  • Speed and efficiency with an accurate attention to detail.
  • Personable and approachable, you will have a calm and unflappable nature.
  • On the ball, you will ensure you are up to speed with actions and ready to assist and inform the Director of developments with clients, projects and the studio throughout the day.
  • Closely monitor the studio, you are the main point of contact for all studio designers.
  • Articulate communicator with strong interpersonal skills to all levels.
  • A resourceful and innovative thinker.
  • Ability to work on own initiative.
  • Whilst you will be working very closely with the PA to the partnering Director, the Directors work on their own separate portfolio of projects. This will require you to be au fait with the live and pipeline projects undertaken by the partnering Director.
  • A team player - working closely with all other employees to support the facilitation of projects.
  • Ability to listen and a willingness to learn.
  • Utmost discretion when dealing with all sensitive project and client information, personal information relating to the Director.
  • Ensure that all documentation is filed correctly using the CADADESIGNGROUP method.
  • Whilst the Director is entirely reasonable and sympathetic of personal time, on occasion he may need to contact you whilst you are not in the studio.

Software Knowledge:

As time moves forward, CADADESIGNGROUP expand and develop our competencies and as such the competencies of the administration of the business develops. CADADESIGNGROUP uses Adobe InDesign and Adobe Illustrator to create it’s literature, including fee proposals and presentations. We recognise that the use of this software isn’t necessarily the norm for PA support, however as this is used here, and should the new starter not already use such software, we would expect them to build upon their skills and, with guidance, learn how to produce literature in accordance with CADADESIGNGROUP company standard.

Competence in Microsoft Office Suite is a necessary skill set.

CADADESIGNGROUP use a programme called Traffic to track design project progress. The new starter will receive in-house support and guidance in acquiring this new skill.

As outlined above, the ability to pick up new skills is a must to enable the continued smooth running of the studio.
