Role Summary:

  • Facilitate onboarding for new employees, including creating profiles and ensuring payroll accuracy.
  • Coordinate onboarding activities and serve as a contact point for new hires.
  • Manage HR correspondence and maintain HR and payroll databases in line with legislation.
  • Contribute to HR policy advice and support the induction of new staff members.
  • Implement and support a high-performance culture within the organization.

Role Requirements:

  • Outstanding communication skills.
  • HNC or equivalent qualification.
  • Experience in a busy office and a support function role.
  • Commitment to continuous professional development.
  • Desirable: HR qualification, CIPD membership, HR environment, and employment legislation experience.

Salary:  £25,048 - £28,000 (dependent on experience)

Location:  Hybrid - 2 days onsite in our Thornhill, Dumfries office required (Wednesday, plus one other day)

Contract: Full-Time, Permanent

About the role

Due to our continued growth, we are excited to be recruiting for the role of HR Assistant on a permanent basis here at The HALO Trust.

Reporting to the HR Officers as part of the People Services Team, this is an opportunity for you to be at the heart of bringing HALO’s mission to life, and we are looking for someone with a strong work ethic, who possesses the ability to work at pace in an ever-changing environment.

Key Responsibilities

Onboarding of New Employees:

  • Creating user profiles on the HR system and learning platform.
  • Ensuring accurate new starter information is added to payroll on a monthly basis.
  • Holding bank confirmation meetings with new employees to ensure details are accurate.
  • Updating HALO’s Intranet (Confluence) with a list of new starters monthly.
  • Schedule and coordinate onboarding activities, providing guidance and support to new hires throughout the process.
  • Serve as a point of contact for new employee inquiries.

Administrative Tasks:

  • Monitor the HR mailbox, ensuring all queries are dealt with in a timely and courteous manner.
  • Ensure the HR database is maintained, accurate and complies with current legislative requirements.
  • Ensure the payroll database is updated as required.
  • Assist in the rollout and implementation of new induction pathways
  • Produce and distribute all employee correspondence regarding contracts, contractual changes and other employment documents.

General Aspects of the role:

  • Provide proactive HR advice on HALO policies and procedures as required within realms of expertise.
  • Maintain continuous professional development.
  • Support the induction process for all new staff.
  • Assist and support The HALO Trust HR team with the implementation of a high-performance employee culture.

All HALO staff are expected to undertake the following general duties:

  • Work within the framework of HALO’s core values, promoting its ethos and mission statement.
  • Work towards achieving programme and/or group business plan objectives.
  • Ensure familiarity with and adhere to all HALO policies and procedures and keep informed of HALO activities.
  • Travel overseas as and when required.
  • To discharge duties and responsibilities under HALO’s Health and Safety Procedures which may include Risk and COSHH Assessments and participation in evacuation procedures as necessary. 

Requirements

Essential:

  • Excellent verbal and written communication.
  • HNC or equivalent.
  • Experience of working in a busy and demanding office environment.
  • Experience of working in a supporting function e.g. training.
  • Evidence of continuous professional development.

Desirable:

  • Professional HR qualification.
  • Membership of CIPD level 3.
  • Experience of working in an HR environment.
  • Employment legislation experience.
