Job Description

Working closely with Arrival’s leadership team, our new Head of Operations will be accountable for ensuring that we have the operational infrastructure needed to support our small, but fast-growing team to deliver ambitious commercial and social impact goals.

This is both a hands-on and strategic role that is critical to the success of the business and the fulfilment of Arrival’s social mission.Your remit is broad. Whether implementing systems, processes and hardware that make it much easier for our sales, client services and delivery teams to deliver exceptional work; developing a flexible hybrid work solution that meets the needs of the business whilst being mindful of the needs of the team; finding and working with great suppliers; professionally managing all client contracting and procurement processes; reviewing team productivity against budgets; building robust client budgets; ensuring that we have the appropriate governance and compliance; or trouble-shooting any urgent systems or hardware issues - your week will be a combination of the operational nitty-gritty needed to run a small business and the much bigger strategic thinking required to build a market-leading business.

Role Purpose

The overarching objective for this role is to ensure that we have the organisational infrastructure that will deliver fast, sustainable growth.


We are flexible as to whether the role is a 5-day or 4-day role. We also offer a flexible working schedule. We are open to someone working 4 days over 5 to fit around school hours for example.


This role is currently remote/ home-based, however, we do expect to return to some in-person office work late 2021-early 2022, in London. We do not anticipate this to be full-time (probably on a needs basis).

Key Responsibilities

1. Systems Infrastructure:

(i) Existing Tech/Systems Management

  • Review the outsourced service provision and monitor service and performance to ensure fit for purpose
  • Ownership of the IT estate, including ordering and disposing of kit.
  • Managing overall access, permissions and security for our cloud-based software estate (Slack, Xero, G-Suite, lastpass etc) and troubleshooting issues.
  • Train and support the team in using current systems, ensuring consistency and effectiveness of use and rapid trouble-shooting of systems and hardware issues that arise

(ii) New Tech/Systems

  • Work with colleagues to identify and procure the most appropriate tools to meet our needs, can be easily rolled-out and which effectively integrate with our varied cloud based systems
  • Develop and design in-house solutions to support operational effectiveness
  • Manage all aspects of new system implementation, ensuring that new systems are embedded in our day-to-day

2. Supplier Management

  • Manage contracts with suppliers, including negotiating balanced contracts with suppliers, recording exceptions to our preferred terms, ensuring value for money
  • Managing day-to-day requests of core service providers

3. Client Procurement Process Management

  • Manage all aspects of a new client's procurement process
  • Ensure we have balanced ts and cs

4. Working environment and facilities management

  • Work with the leadership team to identify an office strategy that balances the needs of the business with team needs and manage all related facilitates management
  • Lead on identifying and implementing employee benefit partnerships
  • Organising all logistics for team and company events
  • Management of all aspects of day-to-day Health & Safety and wider risk management, including risk assessments
  • Management of essential insurance policies
  • Ensuring that all team members have the necessary equipment to support effective and healthy home working.

5. Project Budget Management

  • Providing the Client and leadership team with up-to-date budget informatoin (actuals vs forecasts) and leading on internal pricing

6. Providing Information Analysis and Operational Support to the Leadership Team

  • Providing the leadership team with relevant information analysis (such as performance vs budgets) to help make effective decisions

7. Governance

  • Create a light-touch approach to delegated authorities to support organisational growth
  • Secretary for Board meetings, gathering and producing relevant information for quarterly meetings, producing notes, coordinating minutes and meetings.

Skills & Experience

  • Relevant operational experience working in a small/ medium sized business.
  • Experience in designing and procuring systems that meet organisational needs.
  • Comfortable using a variety of cloud-based work tools (G Suite, Slack, Calendly, Lastpass, Trello, Asana etc)
  • Supplier management (SME)
  • Business Information Analysis
  • (Desireable) Procurement/ Contract management (Blue-Chip Corporates)

Key relationships

Internally, you will report to one of Arrival's Co-Founder and work closely with the Finance Director and Head of People. Externally, you’ll work with our clients' procurement teams and our suppliers.
