HarperVoyager is the Science Fiction and Fantasy imprint of HarperCollins Publishers. It publishes some of the biggest names in the genre, such as George R.R. Martin, Ray Bradbury, Isaac Asimov, Robin Hobb, Jay Kristoff, R.F. Kuang, Sue Lynn Tan and Shannon Chakraborty.

In this role you will provide a wide range of administrative and editorial support for the HarperVoyager team. This will include a number of responsibilities, including critical path management, title support across the list, diary management and expenses, as well as regular liaison with authors, agents and other departments. The ability to manage multiple requests and good time management are essential, as is the ability to prioritise tasks and ask for deadlines.

Key tasks and responsibilities

Administration

  • Diary management for Publisher and Editorial Director

  • Organising and managing meetings with internal/external stakeholders

  • Organising travel schedules, expense claims, agent lunches

  • Arranging author and agent presentations and meetings, and preparing presentation documents

  • Collating weekly sales data for sharing with authors and agents

  • Liaising with freelancers, raising purchase orders and processing invoices in a timely fashion

  • Providing advance material for other departments (e.g., sales, marketing, rights)

Editorial

  • Creating Advance Information sheets, monitoring and updating them

  • Monitoring and amending metadata across the list; monitoring Amazon to ensure copy and jackets are up to date and feeding correctly

  • Proof-reading jacket copy, catalogue copy, and AIS

  • Preparing cover briefs and launch documents when requested

  • Sending finished copies to authors/agents and co-ordinating any publication round-ups

  • With the Publisher’s support, managing titles from first manuscript through to publication

  • Working closely with sales, marketing, production and design to ensure all material is available on critical path

  • Raising new contracts and managing new contracts through the system

  •   Logging and monitoring submissions

Skills and Experience:

  •  Solid administrative and organisation experience

  • An understanding of the production and critical path process would be a bonus

  • Excellent problem-solving, decision-making and prioritisation skills

  • Proficiency with Microsoft Office and other apps and systems, such as Adobe Acrobat

  •   Have a high level of accuracy and attention to detail, including but not limited to proofreading ability

  •  Previous work experience in a publishing environment would be a bonus

  • Be a book lover and enjoy science fiction and fantasy
