The role has four parts:

  1. Executive Assistant, to the CEO, from inbox triage (email and other inboxes, LinkedIn, etc) to meeting management and diary coordination.
  2. Managing Public Speaking Bookings, from fielding inquiries to sending proposals to booking travel. 
  3. Coordinating Marketing, from social media management to coordinating newsletters and occasional events and PR opportunities.
  4. Secondary support to the founding team of their new Social Enterprise, from travel arrangements to booking regular team offsites and admin.

Overview of the new enterprise:

The new business (and founding team) are developing a groundbreaking science-backed studio, releasing multimedia immersive education and entertainment formats built on the success of Uncertainty Experts, aiming to help humans overcome the societal challenges and personal problems of an increasingly complex world.

The founding team come from backgrounds in social enterprise, science, creative industries and media, with a shared purpose to make a significant impact in helping individuals and organisations turn the challenges of our complex world, into solutions and ideas for a more sustainable, equitable society.

Overview of the role.

There are four parts to this role:

The principal purpose of this role is to support the founder and CEO of a new start-up, who’s also an author and public speaker, with administrative and Executive assistant support, from diary management to travel arrangements to bookkeeping, email and inbox management research and admin. (Executive Assistant)

Additional support is needed for managing speaker bookings, including fielding inquiries, writing proposals, handling contracts, coordinating diaries, making travel bookings, collating and sharing social media assets, securing feedback and maintaining positive relationships with event producers, bookers and speaker bureaus. (Booking Management)

The third aspect of the role is coordinating marketing activities, mainly across social media, email marketing and some PR activity. This would include coordinating content, creating content, copywriting, scheduling, and managing platforms, including Buffer and Mailchimp. (Marketing Coordination)

Lastly, some support will be needed across the other three members of the founding team, from booking team meetings to travel arrangements, some group admin, from bookkeeping to diary coordination, to taking minutes of monthly meetings. (Supporting the founding team).

Objectives

To release the founders from admin pressures by centrally coordinating meetings, diaries, expenses, communication, email management (of the CEO), taking meeting notes and managing some suppliers. (Executive Assistant)

To maximise the efficiency and profitability of Speaker bookings through rigorous diary management, efficient travel arrangements, effective administration and strict email/inbox maintenance. Maintaining a balance of creating content, creating income, and creating community (Booking Management)

To increase inbound opportunity and increase outbound awareness by coordinating a regular marketing schedule, including supporting the founders to create and capture content, format and schedule it for the appropriate channels, curate newsletter content and populate marketing email templates, monitor PR opportunities and maintain a high-level dashboard of marketing reach and activity. (Marketing Coordination)

To provide support across the founding team, namely shared travel arrangements, helping the remote team meet face to face on a monthly basis, and some basic administration (i.e. bookkeeping, uploading expenses, etc)  Supporting the founding team.

Overall KPI’s

  1. Removing all appropriate admin from Founders schedules.
  2. Increasing Speaker Bookings (eliminating missed opportunities)
  3. Maintaining a consistent monthly marketing calendar.
  4. Facilitating collaboration across the team.

Logistics

This can be an almost entirely remote role, as long as we connect properly on a weekly basis.

Flexible hours are encouraged as long as they are communicated.

Regular check-ins (almost daily) will be required.

Monthly in-person sessions, checking progress against KPIs and Outcomes, are expected.

Package 

£37 - 42,000 Per Annum / Pro Rata (depending on experience)

Plus up to a 20% bonus based on agreed KPIs (based on speaker bookings)

Temp to Perm contract 

Option to start at three days per week, moving to 4 or 5. 

25 Days holiday (pro rata) plus bank holidays.

Software and skills that are part of the role

Good command of the English language, grammar, ect. 

Good knowledge of Google Software (docs, slides, etc.) 

Enthusiasm and evidence of experience in Social media (LinkedIn, Twitter, Instagram, etc.), 

Knowledge of newsletter/email management and coordination, i.e; MailChimp.

Scheduling software, Buffer.

Email management; Mailchimp, 

Bookkeeping software; Xero.

Non-essential but beneficial software and skills

Knowledge of Kajabi, or any other e-learning platforms.

PR, from coordinating press releases to liaising with editors.

Pipeline or CRM management, i.e, Pipedrive, Hubspot, etc.
