Quarterdeck Lifeprovides maritime staff to the flotilla and charter sailing industry and counts The Yacht Week as our exclusive partner. With a focus on skippers and hosts, we provide comprehensive training packages to prepare our staff for the demands of working in this growing industry. Our key areas of operation are the Mediterranean, the Caribbean and Polynesia. 

The head office in London, UK is run by a team of young, highly-skilled, highly social, engaging and passionate individuals who put making friends and exploring the world at the heart of everything they do. While we are just over 30 people working full-time all year, the team extends to hundreds more over the event season from all over the world.

This role is based in London during the off-season months and is based in Croatia for all operational months during the summer. 

The Role & Person Summary

The Person: 

The person needs to be an incredibly well-organised relationship builder with an eye for detail. The person should be able to fulfil all of the qualities below: 

  • Be a good project manager with a focus on delivering accurately and on time
  • Be able to effectively bridge the gap between extremely analytical individuals and those with operational focus (cross-department working is key) 
  • Interpersonal and adaptive influencing skills (thinking on your feet!) 
  • Understand The Yacht Week and its customers and its community. 
  • Self-starter with good admin skills 
  • Ability to multitask, well organised and a good communicator 

The Role: 

The role is to support the QD Operations Manager with the running of Quarterdeck. Recruitment of new skippers and hosts, running of the academy and the operational management of all assignments of Skippers and Hosts  

Quarterdeck Job Deliverables: 

Winter/Spring

  • Academy Planning & Recruitment - Manage Incoming Skipper and host applications, with coordination from the OM. Following up promptly along each stage of the application process. Maintaining up-to-date and accurate records on the Academy Master Planning Sheet. Coordination of student interviews. Assist with the improvement of course content, format, and material and help manage the QD guides documents library. 
  • QD Communication - Monitor QD email and Social Media accounts and respond promptly to queries.
  • Academy Prep and Logistics - Support with the planning and managing of accommodation, lecture venues, transport, moorings and bookings with local partners. 
  • Pre-Season Roster Management - Manage the distribution of staff assignments prior to the operation season beginning in May. This will require excellent database management and clear communication to ensure the efficiency of the operation. Applying process and a clear audit trail is vital to ensure individuals are assigned in a timely manner and have a clear understanding of the task before the charter commences. 
  • QD Special Events - Plan and prepare for the Annual Quarterdeck Regatta and Quardeck Reunion. That full ownership of the planning and preparation of these events with the ongoing support of the OM. 
  • QD Staff Scheduler -Maintain and keep up to date, the QD staff Scheduler and YW Summer Management Sheets. Deliver a roster of all fully trained YW Academy graduates. 

Summer

  • In-Season Roster Management - Making sure all YW and Private Charter skipper & Host assignments are assigned and confirmed for the next 3 weeks with fully trained YW Academy Graduates.
  • Reward & Recognition - With the support of the OM and RM’s, plan and deliver a program of reward, recognition and loyalty gestures such as gifts, birthday cards, memorabilia, and merchandise.  
  • Private Charter - Issuing of external assignments for both Skippers and Host.
  • Invoice Processing -Check all S&H invoices, and make sure the correct amount has been invoiced for using the automated system. Any Manual item must be checked prior to approval. 

Year-Round

  • Professional relationship building – Maintaining strong relationships with Quarterdeck clients and our partners Yacht Week. Work closely with all agencies to provide the right quality of staff for their assignments, providing professional and timely communication, pre and post assignment service. 
  • Financial - Work with the finance team to deliver excellent financial reporting to the business. This involves rigorous tracking of all assignments and prompt invoicing to clients as well as from contractors to ensure accurate and up-to-date financial reporting. 
  • Customer service - Oversee the communication with prospective students, academy graduates and enquiries from external clients. Deliver a seamless customer service experience with succinct, accurate information passed in good time and logical sequence.
  • Event Management - plan and execute QD and YW bespoke events during and outside the summer to build community spirit and build trust. 

Key Stakeholders: 

  • Marketing - to support in building effective online commercially incentivised campaigns. Work with the Head of Marketing to set sales targets & phasing, engage online campaigns, organise PR trips and any other elements that require liaison of commercial relationships. 
  • Operations - to support all operational requirements to do with yacht sourcing and any other required support with liaising with Charter Companies
  • Customer Service - to support complex changes with bookings and general accommodation-related issues 
  • Board & CEO - to support the Commercial Director with any reporting required for the board 
  • Finance - to support the annual budgets and sign-off on pricing, risk management, processing supplier payments and regularly reviewing cash flow

Skills and background: 

Essential Skills

  • Minimum 1-year experience working within a role that manages key relationships and contractual engagement. 
  • Minimum 1 season working with complex logistical challenges 
  • Maritime industry experience of at least 1 year 
  • 1 season working with a budget 

Desirable Skills

  • Excel Level 3
  • Commercial agreement management  

Bonus to have an EU Passport due to travel requirements

Travel and Working  

The role will have a requirement for travel. You will be required to be based in Croatia from April - September for the operating season. 

Additional travel to other destinations, boat shows, recruitment drives and other potential activations may be required.
