Role Summary

  • Offer high-quality sustainable administrative support to Admin Team and Employees.
  • Handle office management and perform administrative tasks efficiently.
  • Manage petty cash, process cheques, and order office supplies.
  • Organize monthly and major company events, both online and onsite.
  • Collaborate with the global Office Management team on events and initiatives.
  • Assist the Finance team with bookkeeping, invoicing, and account monitoring.
  • Respond to employee inquiries and facilitate transportation when necessary.
  • Maintain physical and electronic filing systems.
  • Ensure office equipment is well-maintained and in good working condition.
  • Support the Office Manager with audits, banking, budgeting, and inventory management.
  • Take on additional responsibilities as needed.

Role Requirements

  • Open to HSC holders, fresh graduates, and those with 1-2 years of experience in Office Administration and Admin Finance.
  • Understanding of basic accounting principles.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Excellent communication skills and a proactive attitude.
  • Strong management skills and multitasking ability.
  • Professional relationship-building skills with both internal and external customers.
  • Independent work ethic with team collaboration experience.
  • Ability to handle confidential information sensitively.
  • Eagerness to learn and adapt to new systems and feedback.

Job Description

Mission

  • Provide high quality and sustainable administrative support to the Admin Team and Employees
  • Responsible, self starter, organized,enthusiastic and comfortable to work with local and International OM team.

Core Responsibilities


Office management and Administration / OM tasks

  • Managing the Petty cash and issuing and monitoring cheques
  • Ordering supplies for the Office
  • Organising monthly events ( online and onsite) + organising big company events
  • Work closely with the EcoVadis OM global team in organising events, works as referent in global OM team and provide improved & new ideas
  • Assist the Finance team to Perform bookkeeping tasks such as invoicing ,monitoring accounts and payments
  • Attend and provide solutions to employees’ queries and complaints
  • Organize Taxi for employees , Admin and HR as and when needed
  • Assist in the filing process - physical and E filing
  • Support in ensuring the proper functioning of the office
  • Ensure that the office and all office equipment are maintained in good condition and arrange for necessary repairs and maintenance as and when required.
  • Assist the Office Manager in other tasks such as Audit,  banking , Budgeting ,
  • Provide support in the Office tagging equipment and keep proper records of new and existing stock
  • Undertake additional responsibilities of an equivalent nature as may be required
  • Provide any other additional financial assistance as may be required

Qualifications

  • Open to HSC holders, fresh graduates and trainees with a minimum of 1-2 years experience in Office administration and Admin Finance
  • Good understanding of basic accounting principles.
  • Knowledge and competency in Microsoft Office especially Word, Excel, PowerPoint

  • Good communication skills.
  • Energetic, willing and ‘can-do’ attitude.
  • Strong management skills and ability to multi task
  • Maintains a good professional working relationship with internal and external customers.
  • Ability to work independently as well as in a team environment.

Position: Permanent contract (After successful 6 months Internship)
