Role Summary

  • Take full ownership of office improvements for a better work environment.
  • Manage office supplies, inventories, and liaise with providers (repair, food, cleaning).
  • Handle reception duties, greet visitors, and provide administrative support.
  • Assist Finance and HR with administrative tasks and team coordination.
  • Organize company events, manage travel arrangements, and company-wide communications.

Role Requirements

  • Over 3 years of experience in office management & personal assistant roles.
  • Fluency in English & Spanish with excellent communication skills.
  • Keen attention to detail and ability to work under pressure.
  • Strong time management skills with multitasking abilities.
  • Trustworthy with handling confidential information.
  • Independent, proactive work ethic with daily office availability near Sants Train Station.
  • Event organization experience is a plus.

⭐ Role Overview

Lodgify is looking for a motivated and well-rounded Office Manager to join the team.

Reporting directly to the Head of HR, you will be responsible for the improvement and smooth running of our dynamic office, as well as provide administrative support to all employees.

This role requires a proactive and hands-on attitude, with the ability to solve problems ensuring success in our fast-paced office environment.

⭐ How will you make an impact?

Taking full ownership in improving the office to ensure a productive, comfortable, clean and safe office environment for employees. Monitoring & managing office supplies, and updating inventories while working with multiple providers (repairman, food and cleaning supplies, etc.). General reception duties such as answering and directing phone calls, greeting visitors, handling their inquiries and directing them to the appropriate person if necessary. Working closely with the Finance and HR Team assisting them with administrative tasks and helping with the set-up of on-site and remote teams. Planning and executing company events and team building activities, including the arrangement of travel bookings (flights, hotel and rental cars), invitations and company-wide announcements.

⭐ What makes you a great fit?

Have more than 3 years of experience in an office management & Personal assistant role. Great oral and written communication skills in English & Spanish. Attention to detail and ability to work well under pressure. Excellent time management skills to prioritise and handle multiple tasks simultaneously. Be trustworthy, reliable and handle confidential information discreetly. Be resourceful and have the ability to work independently and proactively. Availability to come to our office everyday (5 minutes walking-distance from Sants Train Station).
