What will you be doing?

The Trustees are seeking a highly organised volunteer to support the work of the Board, ensuring that meetings are as effective as possible and that inward and outgoing communication between the Trustees and the team members, partner organisations and funders is managed and timely.  This will involve preparations for the 6 weekly meetings - ensuring all necessary invites are sent, outstanding actions from previous meetings have been progressed, reports are submitted in advance and a Board pack created and circulated in good time to allow Trustees to review the information being presented. The role also includes minute taking at the meeting, with notes and actions circulated in good time. Ensuring that the relevant communication is made following the meeting. The aim of the role is to ensure that the there is smooth running of the Board and that communication is effective. The volunteer will work closely with all members of the Board but predominantly with the Chair. The volunteer will help to ensure that all the requirements of a Trustee Board are being met - including the relevant paperwork and details for each Trustee is up to date and recorded as necessary. This is a new role and therefore we are looking for the volunteer to work with us to create a more detailed role description once the dynamics of the Board and Trust are better understood.

What are we looking for?

We are looking for an individual with experience in administration, secretarial or PA areas. Ideally someone who has clerking experience. The role will involve communication across a wide range of people - including Trustees, team members, partner organisations and funders, so the individual must be confident in reaching out to such groups The individual needs to be well organised able to bring information together from a variety of sources to create an impactful Board Pack, to be able to accurately take in information in meetings and to create accurate and impactful minutes which will drive the Trust forward. They will also need to be persistent in ensuring the required information is provided on a timely basis and that agreed actions are being followed up.
