Volunteer Membership Secretary

What will you be doing?

As we continue to grow and work to extend our reach both in terms of membership but also in relation to the work we do in the wider community, we would like our new Membership Secretary to play an active role in Trustee discussion around our work and in particular, they will have responsibility to:  Respond to all new member enquiries in a timely and efficient manner and to issue welcome packs and/or a welcome e-mail to new members  Provide new and existing members with information they require either through redirection of their request to other Trustees or reference to the website or otherwise Manage the annual renewal process for all members  Maintain an up-to-date database of members, to include our MailChimp database Produce membership status updates/reports for Trustee meetings, as required Work with the Treasurer to manage, and when appropriate, guide the development of payment processes for membership and events Help to ensure the organisation is compliant with its data protection responsibilities as outlined in GDPR. The candidate will have some background in administrative matters, the other key qualities we are looking for are: 

Excellent communication skills – verbal and written

An ability to build relationships with others

Good administrative and IT skills 

Being well organised.

What difference will you make?

Our Membership Secretary is at the heart of what we do. They are engaged with the Events Committee and our lecture and visit programmes. They work with the Chair in relation to new initiatives around membership and as a Trustee of a small Council, they have a voice with all other Trustees in the decisions that we make. Our current Membership Secretary is retiring this year and we would like to recruit a replacement with a generous window of overlap to give the chosen candidate the opportunity to shadow, to meet the teams and to understand the current arrangements for a seamless transfer of responsibility.
