What will you be doing?
A Place at My Table is hosting Sutton’s first ever literary festival. We’re seeking enthusiastic Events Managers to play a vital role in coordinating and overseeing the smooth operation of this inaugural event, where you will have the opportunity to interact with award-winning authors and artists. Events Managers will be responsible for ensuring the seamless execution of various festival activities and programs, with a primary focus on providing exceptional support and assistance to our esteemed authors. This role involves extensive coordination, communication, and attention to detail to ensure the success of the Sutton Literary Festival. Key Responsibilities - Develop the programme of events - Event Coordination: Oversee the logistical planning and execution of festival events, including author presentations, book signings, and panel discussions. - Design the festival branding and liaise with graphic designers and other creatives - Author Liaison: Serve as the main point of contact for authors, providing them with personalized support and assistance throughout the festival. - Hospitality Management: Ensure authors are provided with a high level of hospitality, including access to amenities, refreshments, and assistance with any special requests. - Team Leadership: Supervise and support a team of volunteers, delegating tasks and ensuring smooth teamwork and communication. - Health and Safety Compliance: Implement and enforce festival procedures to ensure the well-being and safety of all attendees and participants. - Venue Management: Coordinate with venue staff and volunteers to ensure event spaces are set up, organized, and maintained according to the festival's standards. Additional Information - Summer Lunch Festival Briefing: Attendance at the Festival Briefing in August is mandatory for all Events Managers. This briefing will cover important topics such as Health and Safety protocols, festival procedures, and team coordination strategies. - Lunch and travel expenses will be provided each day for Events Managers. - We adhere to safe recruitment practices, and applicants will be required to complete a volunteer application form, attend internal safeguarding training, and undergo a DBS check. - High quality supervision will be provided by three consultants specialising in events management
What are we looking for?
- Undergraduate or postgraduate studying a relevant subject. Previous experience in event management or coordination is essential - Proficient in social media and technology - Excellent communication and interpersonal skills, with the ability to interact professionally and courteously with authors, volunteers, and venue staff - Strong organisational skills and attention to detail, with the ability to multitask and prioritize tasks effectively - Flexibility and adaptability to respond to changing needs and circumstances during the festival - Commitment to the festival's mission of inclusivity and creating a welcoming environment for all participants
