What will you be doing?

Administrative Support:

Support Trustee meetings such as answering taking minutes ,setting up meetings , sending out papers and chasing up actions. Maintain organised filing systems for documents, records, and correspondence. Assist in scheduling meetings.

Programme Support:

Assist in coordinating animal-assisted intervention webinars , including scheduling sessions and liaising with speakers . Maintain the SCAS database related to membership , therapy animals, and session outcomes. Support programme evaluation efforts by collecting and organising data for analysis.

Financial Administration:

Assist with basic financial tasks such as processing donations, invoices, and expenses. Support the preparation of financial reports and budgets as needed. Work closely with the team to ensure compliance with financial policies and procedures.

Communication and Outreach:

Assist in drafting and editing communication materials such as newsletters, social media posts, and website content. Help maintain the organisation's website and social media profiles, ensuring they are updated regularly with relevant information. Support outreach efforts by distributing promotional materials and attending community events as needed.

General Support:

Provide general support to staff and Trustees, including assisting with special projects and initiatives. Collaborate with team members to identify areas for improvement and implement solutions. Uphold the organisation's values and represent it in a professional manner at all times.

What are we looking for?

General education or equivalent required; additional education or training in office administration or related fields preferred. Proven experience in administrative support roles, preferably within the nonprofit sector. Excellent organisational skills and attention to detail. Strong written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software. Ability to multitask, prioritise tasks, and meet deadlines in a fast-paced environment. Flexibility and adaptability to changing priorities and responsibilities. Passion for the mission and values of our organisation.

By ensuring accurate processing of donations, invoices, and expenses, and by supporting budgeting and reporting efforts, you will help maintain the financial health necessary for our programmes to thrive. Improving Organisational Effectiveness: By providing general support to staff and volunteers and collaborating on identifying areas for improvement, you will help enhance the overall effectiveness of our organisation. Your flexibility, adaptability, and willingness to contribute to various projects and initiatives will help us better serve our mission and community.
