Launched in 2018 and originating at University College London, this not-for-profit has seen rapid expansion, supporting over 360 founding teams from 50+ universities, with portfolio startups raising over £71 million.   • Provide comprehensive administrative support to the Conception X team.
  • Organize and coordinate meetings, including agenda preparation and catering arrangements.
  • Manage administrative inboxes and communicate with startups and the community.
  • Handle financial records, invoicing, and bookkeeping procedures.
  • Support the coordination and execution of events and programme activities.
  • Perform data collection, processing, and reporting tasks.
  • 1-2 years of experience in Operations or Office Administration.
  • Exceptional organizational skills and attention to detail.
  • Excellent English communication skills, both written and verbal.
  • Proficiency in Google Sheets/Microsoft Excel.
  • Adaptability to various responsibilities and a team-player attitude.
  • Event planning and financial management experience are desirable.

Salary: £30,000 with benefits including a friendly culture, flexible working hours, home office options, 27 days' holiday plus bank holidays, and private health insurance. The ideal start date is mid-June 2024.

Conception X is a venture programme that turns today’s PhD research into tomorrow’s deeptech startups. 

Since launching in 2018 as a public innovation pilot within University College London, it has quickly grown as an independent not-for-profit that attracts aspiring PhD founders from more than 50 universities across the UK and beyond, offering specialised deeptech training and support alongside their degree and the opportunity to access key early funding to commercialise their research. To date, Conception X has recruited six cohorts, built 360 founding teams and its portfolio startups have gone on to raise more than £71 million.

Operations & Events Assistant

General Overview:

Amazing opportunity working for a fast-growing company. You are the heartbeat of the company and responsible for the day to day admin and operations of the HQ within a fast-growing business. We are looking for someone with the gravitas to take charge and make the role their own. We are looking for someone based in London, with opportunities to work from our office and home. Some travel may be required for events and to attend in-person meetings. 

The growth opportunities are diverse as the company expands, covering Project Management, Business Development, Community Management, and Marketing.

Main Duties and Responsibilities:

Including but not limited to:

Office Administration 

  • provide administrative assistance to the Conception X Team and assist HeadQuarters & Programme Support Manager in organising a team diary/calendar,
  • assist the CEO and COO in organising and scheduling meetings,
  • organise and coordinate meetings i.e. prepare agendas, room booking and catering arrangements, administer and minute key meetings,
  • manage Conception X team’s administrative inboxes and basic communications with Conception X startups and wider community,
  • enter and maintain data on the CRM database,
  • be responsible for all stationery and office sundries ordering and stock levels. 

Financial Administration

  • assist with bookkeeping procedures,
  • maintain records of invoices and expenses,
  • ensure that all items are invoiced and paid on time.

Other Administrative, Events and Programme Support

  • assist with on-the-day support for online programme and community events,
  • assist with planning in-house or off-site activities, like parties, celebrations and conferences,
  • event support: includes, but not limited to: room booking, catering, handling enquiries, registration and liaison with delegates, creation, maintenance of the registration websites,
  • assist with data collection, data processing, and reporting for Conception X cohorts and community,
  • any other task that is deemed as appropriate and within the competence of the individual.


  • Proven 1-2 years work experience in an Operations or Office Administration role and experience of providing administrative support in a dynamic environment,
  • have exceptional organisational skills,
  • excellent English written and verbal communication skills,
  • confident using Google Sheets/Microsoft Excel,
  • have proven attention to detail,
  • are comfortable with a variety of responsibilities,
  • have excellent interpersonal skills and are a team player - we are a small team, working closely together to ensure Conception X continues to be a success story.

Bonus points:

  • experience in event and meeting planning,
  • experience of working with financials.
