Role Summary
- Ensure system integrity for platforms like Pipedrive, Asana, and Zapier Automation.
- Design and implement new systems and processes to meet business needs.

Role Requirements
- Minimum 5 years in systems and data roles with autonomous work experience.

- Desirable: Project management experience, Python/SQL, and familiarity with Asana, Pipedrive, Zapier.

Key Areas of Responsibility
System Management
Take ownership of the integrity of our systems including Pipedrive, Asana, and Zapier Automation. This includes system maintenance, process documentation, user permission sets, custom data fields, data collection points, and entry methods.
Train and manage the Systems Empowerment Leads (super users) within each team. Each team has a super user who dedicates approximately 2-3 hours per week towards system improvement work.
Design and implement new systems and processes to address gaps in business needs or existing system functionality. Manage change requests and system updates to reflect evolving workflows and data requirements.
Collaborate with teams to review their workflows and recommend automations to enhance efficiency, engagement, and data collection.
Support the team’s data needs by designing and building new automations, reports, dashboards, and metric tracking spreadsheets.
Regularly assess the functionality and features of systems to ensure they meet our needs. Maintain relationships with third-party system providers.
Implement system updates and processes for new business areas and train users accordingly.
Write, collect, and analyse quarterly systems feedback surveys to identify improvement projects and address knowledge gaps for training.
Establish rules of engagement with systems for each team. Create reports to review non-compliance and provide training and feedback to users.
Manage the onboarding and offboarding of employees, including designing and running introductory systems training sessions for new starters.
Data Management
Build and maintain a data integrity report to be run weekly. This will check for any inaccuracies or missing entries and ensure compliance with rules of engagement.
Ensure all data is current and accurate, and that business metric data is collected and accessible.
Develop reports and dashboards to help users understand the data.
Identify gaps in data collection processes and recommend improvements.
Monitor user engagement with data systems and drive changes to enhance this.
Create data repositories/data books for each team lead as needed.
Skills and Experience
5+ years of experience in a systems and data role.
Proven ability to work autonomously, setting own priorities, deadlines, and operating plans.
Experience with implementing new processes and managing change, including training people to use systems.
Skilled at prioritising project requests from across the business, balancing these within the context of overall business needs.
Strong analytical skills with a passion for working with data and processes.
A problem solver who enjoys finding neat and sustainable solutions.
Experience managing client expectations and working with both internal and external clients.
Project management experience is desirable.
Expertise in Google Sheets/Excel.
Experience with an automation tool in a small to medium-sized company.
Python/SQL skills would be a plus but are not required.
Nice to Haves:
Experience with Asana, Pipedrive, and/or Zapier.
Project management experience.
A track record of improving processes and successfully implementing change
Experience of coaching and developing others
Understanding of performance frameworks e.g. OKRs, KPIs, etc.
Comfortable with remote work, but open to office meetings from time to time

For this role, the salary will be £27,000.00 - £30,000.00, depending on experience. In addition to your salary, we are offering a place where you can be yourself, develop your skills and fulfil your potential. We also have a flexible approach to working, so there’s no pressure for you to be in the office once your probationary period has been completed. You can work from wherever you are most productive. Our London office will be open for your use 3 days per week.
