Role Summary

  • Organizing all experienced hire and head office interviews.
  • Building trusted relationships with the Executive Support team.
  • Ensuring GDPR compliance in recruitment processes.
  • Improvement of the recruitment coordination function.
  • Leading on internal governance.
  • Arranging pre-interview and post-interview feedback calls.
  • Monitoring and responding to general enquiries.
  • Updating recruitment calendar with all interview arrangements.

This is a unique opportunity to be a pivotal part of the Talent Acquisition team taking ownership of ensuring every live candidate and stakeholder have all the information they need, that our processes and systems are consistent, up to date and compliant.

Key responsibilities:

  • Responsible for organising all experienced hire and head office interviews including ensuring an appropriate location and venue is arranged for in person sessions
  • Building trusted relationships with the Executive Support team to work efficiently and collaboratively on the interview planning process
  • Ensuring both hiring managers and candidates have all relevant information ahead of interviews in their respective invitations
  • Lead on GDPR compliance including ensuring the recruitment candidate policy is up to date and on all candidate invitations, reasonable adjustments are offered and met where needed
  • Lead on process improvement for the recruitment coordination function including researching, and implementing, the latest tools in the market to improve efficiency and quality of experience for candidates, PAs and assessors
  • Leading on internal governance; ensuring best practice on the use of the ATS and other systems
  • Arranging pre-interview calls with the relevant recruiter and assessors
  • Arranging post-interview feedback calls with the relevant recruiter and assessors
  • Monitoring experienced hire inbox and answering general enquiries
  • Updating recruitment calendar with all interview arrangements
  • Ensuring case studies are set at the right time for candidates
  • Collaborating on team projects and reporting
  • Ad hoc admin support for the wider team

Requirements

Essential skills and experiences we are looking for:

  • Prior experience in working in a fast paced, high workload coordination or administration role
  • Excellent attention to detail, with a ‘make sure’ mentality
  • Strong written communication skills
  • Trusted to maintain confidentiality at all times
  • Self-organised, with the ability to prioritise competing demands
  • Improvement minded, proactively looking to understand and build upon existing process and procedures
  • Self-motivated, with the ability to work effectively on own initiative
  • Able to deal with a rapidly-changing environment
  • A flexible approach, comfortable working in a fast-paced environment and dealing with ambiguity
  • Inquisitive and articulate, able to tell a story through data and insights
  • Excellent communication skills to engage and build rapport with PAs, candidates and senior stakeholders
  • Proactive in partnering with the recruitment team to understand their challenges

We offer a highly competitive salary (£35,000 - £45,000) and our generous benefits package includes Life Assurance, Income Protection, pension contributions and 25 days holiday (not including bank holidays). We also operate a profit share scheme so that our people share in the success of the business. The profit share bonus is based on company performance and typically paid out in March and September.
