Role Summary:

  • As Coordinator, Programme Operations, you will liaise closely with various teams, partners, and suppliers to ensure the smooth running of Road Scholar programmes.
  • You will support multiple Operations Managers overseeing 50 different programme itineraries.
  • You will manage programme details and logistics, review and reconcile financial details, and develop comprehensive knowledge of programme content and destinations.
  • Lastly, you will collaborate with the Programme Administration team to ensure the timely creation and distribution of materials and reports.


Role Requirements:

  • Have a Bachelor’s degree or equivalent experience, along with 1–2 years' relevant experience.
  • Must be proactive and motivated with strong analytical skills and attention to detail.
  • Experience in a fast-paced business environment is essential, along with excellent customer service skills and the ability to work efficiently in a multifunctional team.
  • Proficient system skills and comfort with complex databases is important.
  • Some travel and evening/weekend work required.

About the role…

The Coordinator, Programme Operations is a member of the Adventure Afloat Operations Team and supports various members of the Afloat Programmes teams in the smooth running of Road Scholar programmes. The Coordinator works closely with educational travel partners and/or cruise lines, other suppliers, and staff to achieve and maintain high NPS scores on programmes.

This is a full-time, remote position, located in the UK (Monday - Friday 09:00 - 17:00 GMT/BST) or the US (Monday-Friday 9:00am - 5:00pm EDT). Some travel and evening and weekend work required. This remote opportunity is part of the Adventures Afloat team, seeking candidates in the UK or Eastern Time Zone of the US. Road Scholar will provide all necessary equipment. The compensation for this position is £33,000 annually, paid in monthly installments for a UK candidate or $22.50 per hour for a US candidate. 

You will…

  • Support multiple Operations Managers on up to 50 different programme itineraries across product lines and a variety of programme types.
  • Liaise with our Customer Service team, providing timely communication regarding participants’ programme questions and special requests, to find solutions and encourage enrollments.
  • Work with the programme operations team to ensure that programme materials are completed accurately and on time, all procedures for managing programmes are followed, and complete and accurate information has been submitted.
  • Arrange and confirm programme details and logistics such as hotel nights, field trips, transfers, meals, and additional programme staff. Assist with negotiation of contracts for these items, dependent on experience.
  • Daily analysis of enrollments and space allocations on programmes, ensuring optimal use of capacity in keeping with contractual deadlines.
  • Review, triage, and take action on programme changes when complications occur prior to and during programmes.
  • Assist in preparing group leaders and on-the-ground staff for upcoming departures.
  • Review and reconciliation of financial details and invoices for suppliers, staff, and other programme expenses.
  • Work closely with the Programme Administration team to ensure materials and reports are created and distributed on time.
  • Develop comprehensive knowledge of programme content and destinations.
  • Will be required to attend and work on certain programmes related to the position.
  • Moderate travel and some evening and weekend work required.
  • Additional duties as assigned.

  • Bachelor’s Degree preferred or equivalent experience.
  • Organised professional with 1–2 years’ relevant experience.
  • Pro-active, motivated individual who is results-oriented.
  • Experience in a fast-paced business environment.
  • Excellent customer service skills with a focus on anticipating and resolving issues proactively.
  • Analytical skills and a high attention to detail are essential.
  • Excellent verbal/written communication, interpersonal, and problem-solving skills.
  • Ability to work collaboratively in a multi-functional team environment.
  • Strong system skills; comfortable in a complex database environment.
