Role Summary

  • First point of contact for guests booking retreats.
  • Manage the booking experience from enquiry to arrival.
  • Handle refunds, credit notes, gift cards, changes, and discounts.
  • Deal with complaints professionally.
  • Support Event Manager with retreat logistics.
  • Occasional attendance at UK retreats to support operations and guest experience.

Role Requirements

  • Naturally organised and methodical.
  • Experience in admin, bookings, events, travel, or customer service.
  • Excellent communication skills – friendly, clear, and calm.
  • Interest in yoga, wellness or travel.
  • Experience in using tech tools (training provided for our booking platform).

  • Expect a 3-month onboarding period in-office part-time.
  • Role is full-time, with occasional weekend/public holiday support.
  • Annual salary is £26–30K pro rata, based on experience.

At Adventure Yogi, we’ve been creating soulful yoga retreats and holidays for over 19 years – from the mountains of Wales to the beaches of Sri Lanka. We help people recharge, reconnect and rejuvenate through yoga, movement, nature and fun.

We’re looking for a new member of our team and for someone who is an organised, warm, process-loving human to join us as our Bookings & Events Coordinator.

The Role

This is a key front-of-house role in our small, purpose-led team. You’ll be the first point of contact for guests booking our retreats, managing their journey from enquiry to arrival with kindness, clarity, and efficiency.

You’ll need to love systems, structure and solving problems – especially when things go wrong (because occasionally, they do). You’ll also support our Events Manager with retreat logistics and occasionally attend UK retreats to support on-the-ground delivery.

It’s the perfect blend of process, people, and purpose.

What You’ll Be Doing

Bookings & Customer Experience

  • Be the warm, friendly first point of contact for enquiries
  • Manage bookings from start to finish using our CRM and booking systems
  • Handle refunds, credit notes, gift cards, changes and discounts with care and accuracy
  • Follow clear processes and keep meticulous admin records
  • Deal with complaints professionally and empathetically – always aiming for resolution and retention
  • Respond to phone and email enquiries with a calm, kind and informative tone

Sales & Communication

  • Guide guests through retreat options and help them book with confidence
  • Follow up on leads and manage listing site bookings
  • Learn all our retreat offerings in detail so you can sell them clearly and enthusiastically

Event Support

  • Assist the Events Manager with retreat logistics and venue liaison
  • Set up guest WhatsApp groups and share key retreat info
  • Occasionally attend retreats to support operations and guest experience
  • Help maintain and improve internal retreat manuals and processes

Details

  • Location: Hybrid – Hove office 1 day a week and remote (3-month onboarding in-office part-time)
  • Hours: Full-time (37.5 hrs/week), occasional weekend/public holiday support
  • Salary: £26–30K pro rata depending on experience
