We are seeking a dedicated Volunteer Administrator to join our team for 3 days a week (Monday, Wednesday, and Friday) for 3 hours a day.

What will you be doing?

Email Management: Replying to and managing incoming emails, ensuring clear and timely communication with our families and team members.  Newsletter Creation: Designing and sending out engaging newsletters via Brevo to keep our community informed and up to date with our latest events and activities.  Booking System Management: Accurately extracting and inputting details into our booking system, ensuring all bookings are organised and processed smoothly.  Communication: Sending important emails regarding bookings, confirmations, and updates to families, and handling any follow-up inquiries.  Refunds Management: Overseeing and updating the refunds spreadsheet to ensure accurate financial tracking.  General Administrative Support: Staying on top of the workload by keeping systems organized and supporting the team with any additional tasks as needed.

What are we looking for?

Marketing strategy, to help develop and implement effective outreach and promotional plans;  Graphic design, for creating visually appealing materials;  Digital and IT strategy, to guide our online presence and tech use;  Financial management, to assist with budgeting and financial planning;  General/operations management, to support day-to-day operations; and  Office and administration management, to ensure smooth coordination of tasks and communication. Relevant experience in any of the skills areas above is essential for this role. Additionally: Excellent Communication Skills: Ability to write clear, concise, and professional emails and newsletters. Strong Organisational Skills: Able to manage multiple tasks, prioritise, and keep track of bookings, emails, and spreadsheets. Attention to Detail: Ensuring accuracy in managing booking information, inputting data, and overseeing the refunds process. Tech-Savvy: Comfortable using email marketing platforms like Brevo, as well as booking and spreadsheet systems. Problem-Solving: Able to address inquiries, resolve issues with bookings, and manage workload independently. Time Management: Efficiently completing tasks within the designated working hours. Proactivity: Taking initiative to stay on top of tasks and manage priorities without supervision.
