About the RoleWe're looking for a London-based Executive Assistant to the CXO (Chief Experience Officer) and CEO to join our Membership Experience team to support them in maximizing their time and impact. As a key member of a fast-paced, multidisciplinary team, you will support all aspects of their work, including managing their schedules, drafting communications, preparing presentations, and offering thought partnership. You will also provide office management cover during the Senior Operations Assistant's absences.
Your immediate priority will be to ensure the CXO and CEO can direct their time and resources toward the highest-impact elements of their work.
What You'll Do
Coordinate diary management and prioritization: Anticipate clashes, manage changes, and organize weekly "office hours" to ensure the CEO and CXO's calendars are optimized for efficiency and productivity.
Proactive travel planning: Orchestrate all travel logistics, including transport and accommodation for both UK and international travel.
Manage inboxes: Triage inbound messages, prioritize, and make recommendations to ensure emails are handled in a timely manner.
Draft communications: Compose event invitations, emails, and other relevant communications for the CEO and CXO in their style and tone of voice.
Prepare briefs and agendas: Work with the CEO, CXO, and the wider Membership Experience team to commission and develop meeting briefs and agendas to help ensure smooth and productive meetings.
Provide administrative support: Take meeting notes, process expenses, book meeting rooms, and accurately record notes and data on our CRM for all meetings and contacts.
Prepare presentations: Draft talking points and slide decks for both internal and external events to ensure the CEO or CXO are well-equipped to deliver to a high standard.
Offer ad hoc administrative cover: Provide office management support during the Senior Operations Assistant's vacation and sickness absences.
Thought partner: Support the CEO and CXO in exploring ideas, navigating complex challenges, and considering different viewpoints while maintaining strict confidentiality.

This role is based in our London Bridge office, and the expectation is to typically attend the office 5 days a week to allow for close collaboration with the CEO and CXO, as well as other team members. Some travel may be required for our annual team offsite, and smaller team gatherings.
