Position: Operations Analyst

Position Summary:

The Future Society (TFS) is seeking an Operations Analyst to support operations, project management, and communications for our team of 20 staff working on aligning AI through better governance.

Reporting to Operations Manager Eloise Dunn, this hire will work across both the Operations and Communications departments, supporting day-to-day processes that keep TFS running smoothly. The organization has more than doubled in size over the past two years and our Operations team will grow with it.

This role is ideal for a brilliant, mission-driven generalist who thrives on organization, planning, problem solving, and collaboration.

Compensation: For candidates based outside the U.S., $57,100. For U.S.-based candidates, $72,800 (up to $79,200 for specific locations with a higher cost of living). Please note that TFS uses a formulaic salary structure and does not negotiate compensation on an individual basis.

Benefits: For a U.S.-based hire, benefits include medical, dental, and vision insurance as well as a 403(b) retirement plan with an employer match at three percent of salary, 30 days of annual leave (including floating public holidays), and 10 days of sick leave each year. For non-U.S. employees, we match the U.S. standard as closely as possible or use local mandatory levels, whichever is highest.

Responsibilities:

  • Carry out core work across key operational areas, including recruitment, onboarding, employee engagement, retreat planning, tech and systems work, and finance and fundraising.
  • Carry out core project management work, including helping with project planning and strategy setting, maintaining project Gantt charts, and following up on tasks and deadlines to help keep AI governance projects on track.
  • Work closely with the Communications team to assist with their work management, liaise with the wider team, and manage Comms tools, subscriptions, and contracts.
  • Help to maintain and improve our tools and systems setup.
  • Follow best practices and continually improve your understanding of operations and project management.
  • Manage commitments in a constructive and reliable fashion, with good communication.
  • Actively engage in team meetings and discussions.
  • Help foster a positive and inclusive team culture, with effective collaboration across the team.
  • Support in addressing organizational and team challenges, towards a culture of continuous improvement
  • Assist with vendor management and help to identify and resolve issues.

Requirements:

  • 2+ years of relevant professional experience in operations, project management, or a similar area of work.
  • Mission-driven: Commitment to advancing AI governance and a strong desire to support TFS’s mission of aligning AI through better governance.
  • A talented generalist: You will be involved in many areas across the Operations, Communications, and AI Governance teams, so you must be able to get up to speed quickly and be comfortable switching between different tasks.
  • Fantastic organizational skills: You have a demonstrated ability to work independently and reliably in a remote environment, and you are great at managing your time, prioritizing effectively, and reliably completing your tasks and projects.
  • Detail-oriented, diligent, and tenacious: You complete your tasks to a high standard, and can be trusted not to miss important details. You can be patient and persistent when dealing with complex and sometimes frustrating administrative processes.
  • Proactive problem solving: You take the initiative to make feasible suggestions and implement improvements, and you step in to help when you identify problems that are critical to address.
  • Collaborative approach: You work well on a team and enjoy supporting others with a positive attitude, clear communication, and the ability to seek and provide guidance when needed.
  • Tech adept: You’re a quick learner and will be able to proficiently configure and manage the digital tools and platforms that we use to work remotely and asynchronously—including Google Workspace, Slack, and project management systems on Coda.io. Familiarity with Notion or Asana is helpful.
  • Ambition to develop in operations: You are building a career in operations and you will aim to grow your knowledge and skills.
  • Willingness to travel: This role will require international travel up to two times a year.

Preferred

  • Experience in a small company or organization.
  • Experience operating in a global and/or remote-first work environment.
  • Experience in a mission-driven setting, particularly in the AI Governance field.
  • Familiarity with handling basic financial and HR administrative processes.
  • Familiarity with communications functions and web content management (WordPress or similar).

We are a global team that operates primarily remotely, with in-person retreats that take place twice a year. In order to overlap with the whole team, team members need to be available for calls between 4pm and 6pm UTC.
