We have a fixed term contract for 12-15 months to cover maternity leave working within the Executive Support Function

Team Management: An experienced and dedicated people manager to manage and develop our team of Personal Assistants in the Delivery Support team. Your team will range in ability from new to role PAs and receptionists with little PA experience to those with more experience.  All will support Business Managers across all clusters of the business, some of our Head Office Stakeholders as well as stakeholders from Xantura, a Newton Group Company.

  • You will develop the team to provide an excellent level of service to our stakeholders.  You will have an oversight of their workloads, priorities and you will assist them with alleviating pressure points   
  • You will ensure efficient and effective utilisation of the team, managing resourcing to cover holidays, sickness, absence and managing temporary staff as necessary
  • You will plan and monitor team headcount, being able to flex to the demands of the business
  • You will carry out appraisals and talent review meetings for your team and quickly address any areas of underperformance as well as nuturing and developing talent, regularly seeking and providing feedback
  • Responsibility for the recruitment, management, and induction process for new staff into the teams
  • Managing team members with dual role as PA and receptionist. With 1 team member being based at our London office. (travel required)
  • Understanding future scope and growth of the team and how this fits into the structure of the ESF and the business
  • Identifying opportunities for team members to grow and challenge themselves

Personal Assistant: An experienced and proactive Personal Assistant. You will support c.2 Stakeholders,

  • Managing and maintaining multiple diaries. You are responsible for stakeholder’s time, managing their availability, prioritising their schedule based on business need
  • Scheduling internal and external meetings/events of varying sizes for stakeholders (including appraisals, client reviews, project reviews, internal company development, board meetings, interviews, team meetings)
  • Completing ad-hoc administrative tasks as needed and submitting timecards.
  • Providing holiday cover for other team members
  • Driving and sharing best practice in the way we support senior people across the business, enabling them to deliver the very best value in their role.
  • Understanding and supporting stakeholders’ priorities and align with Newton objectives and business governance  

Wider Responsibilities: As a member of the Executive Support Function Leadership team, you will play a key role in the development of the function.

  • Supporting the Head of Executive Support and ES leadership team with delivering the function’s future strategy and owning a part of this, ensuring the function evolves as the business needs grow and change
  • Being a champion for change and embracing and leading the way with new ways of working,  
  • You are continuously driving and sharing best practice and actively seeking out ways the team can operate more effectively
  • Big picture thinking by staying up to date with the growth of the business and adapting the scope of the DST PA role and shape of the team to ensure continued effective support and balancing the needs of the business.
  • Managing our internal Travel Management System, continually looking to progress this project across the function and into the wider business. Working with our supplier to ensure we are utilising the system effectively and understanding the business benefits.
  • Working closely with facilities on ensuring the Receptions at our Oxford and London offices are always properly staffed. Ensuring we collaborate with facilities to ensure effective running of our offices and efficient processes in place for this.

The role is Fixed Term contract covering maternity leave for 12-15 months and will be based in our Head Office in Kingston Bagpuize, Oxfordshire.  You will spend two days a week in the office, with some of these including travel to our London office as a team member is based there. The salary range for this role is £55,000 - £60,000 + benefits including a profit share bonus scheme.

Requirements

You’ll be a high calibre individual, with exceptional levels of personal drive. An analytical mind coupled with strong communication skills and a positive attitude are essential to fit into the Newton culture. The successful candidate will also have/be the following:

  • Previous experience as Personal Assistant/Executive Assistant
  • Previous experience of managing a [large] team, interpersonal skills with strong leadership skills and ability to delegate successfully 
  • Previous experience managing a significant change within a team  
  • Big Picture thinking, looking forward and leaning into change.
  • An ability to think ahead and anticipate needs before they arise.
  • Methodical coordination skills and logical thinking
  • Exceptional organizational skills: ability to multi-task and organize others.
  • Excellent oral and written communication skills, with the ability to work and communicate effectively within a team and enjoy being a team player.
  • Experience working within a high-paced environment where you can remain calm under pressure, adaptable and responsive to ever-changing challenges and priorities
  • Excellent use of Outlook, Word, Excel, PowerPoint and Co-Pilot
