This is a hands-on delivery role covering event administration, delegate management, and supplier coordination, with responsibility for ensuring smooth, high-quality execution across our events programme.
This role is joining us at a landmark moment – Newton’s 25th anniversary – and the primary focus will be to support the delivery of our flagship Summer Weekend in August: a multi-day (Friday to Sunday inclusive) celebration attended by our people and their families. Beyond this, you will provide hands-on support across our monthly events programme for the duration of the contract, up to and including our Global Strategy Event in September.
The Interim Events Manager will report into the Head of Events and work alongside our Senior Event Executives, and, from August our new Events Coordinator. This role sits within the wider People Team, dedicated to creating a fantastic working environment for our people.
This role requires regular UK travel. Our monthly events typically require on-site attendance from Thursday morning for set-up through to completion of event delivery on Friday. These events are generally based in a UK city. A full UK driving licence is required.
Event delivery and project management
- Manage tasks associated with our Newton’s 25th anniversary Summer Weekend in August – a flagship multi-day event for our people and their families – from planning through to on-site execution and close-out
- Provide hands-on support across the monthly events programme, attending on-site each month (Thursday evening and Friday) with overnight stays as required.
- Create and manage project plans, onsite run sheets, and briefing packs to ensure consistent, high-quality delivery at every event.
- Coordinate venue logistics including AV, catering, entertainment, accommodation, room setup, and on-site operations.
- Be part of the busy onsite live event delivery team, troubleshooting in real time while supporting attendees and coordinating suppliers and logistics simultaneously.
- Track accurate feedback to ensure each events success against set objectives.
Delegate management
- Manage delegate registrations, invitations, and RSVP tracking.
- Handle delegate communications and queries professionally and promptly.
- Manage attendee requirements including dietary, accessibility, and travel needs.
- Deliver a smooth, high-quality delegate experience from invitation through to post-event follow-up.
Supplier and budget management
- Write clear briefs and coordinate multiple suppliers
- Manage supplier timelines and deliverables, negotiating and controlling costs effectively.
- Track budgets and manage invoices, maximising value and flagging risks early.
- Resolve supplier issues quickly and effectively to keep delivery on track.
Stakeholder engagement
- Articulately present event ideas to stakeholders of all levels and steer decisions to best achieve the event outcomes.
- Inspire and motivate Newton employees to get involved in shaping our monthly engagement events and build practical project plans to help facilitate this.
- Work collaboratively and remain agile to adapt to change in business needs and stakeholder feedback during the event planning process.
Inbox and administration management
- Act as a key point of contact for event-related queries, managing inboxes efficiently and ensuring attendees receive a high level of service.
- Maintain accurate records and produce key event documents including rooming lists, attendance lists, and dietary requirement logs.
- Support event communications across Outlook and our internal intranet platform.
Requirements
We’re looking for someone that is energised by delivering high-quality, engaging events that put our people and their experience at the heart. You’ll enjoy meeting new people, be motivated to learn and have exceptional project management skills.
Essential skills and experiences
- Strong organisational skills with the ability to manage competing priorities across a busy events calendar.
- Excellent communication and presentation skills.
- Ability to manage a large budget, including tracking costs, negotiation and reporting.
- A solid understanding of Excel to track and report data. Including the ability to use formulas, create pivot tables etc.
- Confident working with collaboration software such as Teams and SharePoint.
- A Full UK driving licence is necessary as the use of public transport won’t always be practical for the role that you do.
- You’ll either have worked in-house where events have been a big part of your day-to-day work, or you’ll have experience from an agency setting to support corporate clients.
- A good knowledge of UK venues and event suppliers is desirable.
Personal attributes
- Fast starter who gets up to speed quickly and takes ownership from day one.
- Highly organised and detail-oriented, with a proactive, solutions-focused approach.
- Calm and resilient under pressure, maintaining a professional presence in a live event environment.
- A genuine passion for people and creating exceptional experiences.
- A strong team player who thrives in a fast-paced, collaborative environment.
