Reporting to the Events and Operations Specialists, Principles of Intelligence is seeking two Events Coordinators to support the planning and execution of a range of organizational events. From intimate team retreats to larger conferences and workshops, this role is central to ensuring that Principles of Intelligence events run smoothly, professionally, and in a way that reflects our mission and culture.

The Events Coordinators will work across a variety of event types, including the PIBBSS Fellowship — our flagship program supporting researchers in AI safety — as well as internal team retreats, workshops, and external conferences. This is a hands-on, detail-oriented role suited to someone who thrives in a dynamic environment and takes pride in delivering well-organized, memorable experiences.

Position Details

Location: Remote. This role will be expected to come to Belgrade, Serbia for three weeks in September for onboarding, after which the work is remote. Event Coordinators may be traveling up to 10-12 times per year.

Visa / Work authorization: We can provide visa sponsorship for candidates based in (or relocating to) London (UK) and Berkeley / Bay Area (US), depending on candidate circumstances and role fit. Many trips will be to the US, UK and EU, so please state an inability to enter any of those countries clearly on the application

Type: Full-time.

Start date: August 2026.

Salary range: Salary is dependent upon location and experience. Our estimated range is $50,000 – $70,000 gross.

Core Responsibilities

Support logistics for Principles of Intelligence events, including venue sourcing, vendor coordination, catering, travel and accommodation arrangements, and on-site setup Provide logistical support for the PIBBSS Fellowship program, coordinating travel, housing, scheduling Assist with tracking event-related expenditures Provide administrative support for the Events and Operations Specialist and work closely with Senior Communications Coordinator to align event planning with organizational priorities and and external-facing materials Coordinate post-event wrap-up tasks including feedback collection, expense reconciliation, and documentation of lessons learned for future planning

This role is fully remote, so we’re looking for people who can thrive in an async environment and are genuinely excited to work on AI safety.

Requirements

Must have

Hands-on experience coordinating the operational components of in-person events (venue, vendors, catering, travel, lodging) Comfortable booking and managing travel arrangements for multiple people simultaneously, including handling changes and last-minute adjustments without losing track of details Experience in managing event budget log, including reconciling, and flagging expenditures accurately

Great to Have

Experience supporting Fellowship or program logistics, including coordinating cohort-based travel and housing Vendor and venue research skills Familiarity with expense management tools Interest in or comfort with a research/nonprofit context

Your starting salary range depends on role, prior experience, and location. Our estimated range is $50,000 – $70,000 (gross).
