Project: An industry-led initiative implementing programs dedicated to farmers and communities at scale with the objective of strengthening the resilience of the cocoa supply chain in Côte d'Ivoire and Ghana. Role of RA: Supporting the launch of the operations in Côte d'Ivoire by establishing and managing a team to ensure effective delivery, coordination, and monitoring of all activities on the field including agronomy services.
POSITION SUMMARY: The Project Finance & Compliance Manager will provide support with the financial, contractual and compliance oversight management for a program in Côte d'Ivoire.
You will: - generating financial reports - monitoring expenses and revenues - performing financial analysis and managing contracts, subawards and other agreements - coordinating the program's accounting, reporting, compliance and risk management.
The Project Finance & Compliance Manager will be an integral part of the Finance and Internal Compliance teams. You will provide, as well as receive, back up and support to others in the department to achieve critical deadlines. You will also ensure compliance with administrative and financial requirements in line with donor and Rainforest Alliance policies and procedures.
WHAT YOU WILL DO: Finance - Responsible for financial management including the preparation of financial plans, subgrantee financial contracts, grants management, financial information management to support project management and oversight, preparation of financial reports, facilitating audits; - Lead coordination of annual budget planning, including creating reports for donors and ensure our commitment and compliance to donor policies in collaboration with technical units; - Provide staff support in areas related to administrative and contracts orientations, and training for project staff to communicate clear financial policies and procedures; - Responsible for financial monitoring of subgrantees and capacity building of partners in financial matters; - Maintain administrative and financial deadlines set by RA and funders (i.e. reports, payments, and contracts); - Prepare financial reports for donors such as expense reports, projections and accruals when needed; - Implement internal controls, financial protocols and monitor expenses assuring the correct source of financing; - Help prepare annual budgeting and planning process; - Support in the preparation of financial information of the Region, for organizational requests (including revenue analysis, use analysis, expense, projections); - Review and submit reclassification requests; - Prepare new subaccount requests for the Region; - Manage budget forecasting, expenditure tracking, financial analysis; - Maintain schedule of funder billing dates and prepare all necessary documentation and invoices; - Prepare internal financial reports such as budget to actual reports; - Help monitor expenses and revenues according to approved budgets; - Maintain contract payments and all necessary backup documentation.
Contracts and Compliance - Manage procurement processes for contracts, sub-awards, subcontracts, MOUs and help prepare grants according to donor requirements and Rainforest Alliance's policies; - Ensure that contractual agreements are issued using appropriate templates, in accordance with donor requirements when applicable and according to RA policies; and databases and logs are updated; - Produce reports to monitor active consultant agreements and sub-awards, payment schedules; active grants, schedules, reporting dates; - Provide staff training in topics related to contracts management and facilitate contract orientation and training for newly hired staff - Prepare special requests to donors in compliance with the agreement's conditions.
WHAT YOU BRING: - Bachelor's degree in business administration, accounting, finance, or related field; - 5 years' experience in financial analysis, (donor) reporting and budgeting; - Supervise subgrantees and oversee project compliance function and provide clear guidance on donor policies and procedures; - Financial skills in budgeting, income tracking, budget monitoring and financial reporting; - Experience in a not-for-profit and international environment, ability to work cross-functionally in a global environment; - Both written and verbal fluency in English and French ; - Ability to travel minimum of 30% per year, nationally and internationally;
