Paint the Town Green is a high-end painting and decorating company known for delivering exceptional finishes and a premium client experience.
For almost twenty years, we have worked with homeowners, designers, contractors and other clients who value quality, craftsmanship and a smooth, professional service from first enquiry through to project completion.
As the business continues to grow, we are looking for a Sales & Estimating Coordinator to become a key part of our sales process, managing new enquiries, supporting lead qualification and turning site visits, plans and tender information into clear, accurate and professionally presented estimates.
The Role
Working closely with our Founder & MD, you will take ownership of much of the coordination and administration behind our sales and estimating process.
You will often be the first person a prospective client speaks to, so you'll need to quickly understand what they are looking for, gather the right information and help determine whether an enquiry fits the type of work we undertake.
Once a project moves forward, you will support the estimating process by preparing quotations from site visit information, floor plans, specifications and tender packages.
This is a hands-on coordination role requiring excellent organisation, attention to detail and judgement.
You won't be expected to arrive knowing how to estimate painting and decorating projects. We will train you in our services, pricing approach and estimating processes, with the expectation that you become increasingly confident and independent as your knowledge develops.
Key Responsibilities
New Enquiries and Lead Qualification
- Act as the first point of contact for new enquiries received by telephone, email, website and other channels.
- Respond promptly, professionally and in keeping with the level of service our clients expect.
- Ask appropriate questions to understand the project, client requirements, timescales and other key information.
- Assess enquiries against agreed lead qualification criteria and identify those that should progress to the next stage.
- Handle enquiries that are not suitable for the business professionally and courteously.
- Arrange site visits and client meetings for qualified opportunities.
- Ensure new enquiries and lead information are accurately recorded in HubSpot.
Quoting and Estimating
- Take detailed information following client meetings and site visits.
- Prepare accurate, detailed and professionally presented quotations and scopes of work.
- Review floor plans, specifications and tender packages and use these to prepare estimates and scopes of work.
- Check quotations carefully for accuracy and completeness before issue.
- Send quotations to clients and manage agreed follow-up activity.
- Maintain visibility of outstanding quotations, deadlines and follow-up dates.
- Work with the Director of Sales to ensure opportunities continue to move through the sales pipeline.
- Develop the technical and commercial knowledge required to prepare estimates with increasing independence.
CRM and Sales Coordination
- Maintain accurate and up-to-date records of enquiries, opportunities, quotations and client communications in HubSpot.
- Support the effective management of the sales pipeline, highlighting enquiries or quotations that require action.
- Help ensure information flows effectively between sales, estimating, marketing and project delivery.
- Provide insight into the source and type of enquiries being generated to help the business understand which marketing channels are producing appropriate leads.
- Maintain accurate client and project information throughout the sales process.
Supporting the Wider Business
- Spend time with different areas of the business during your induction to understand how projects move from initial enquiry through to delivery.
- Build strong working relationships with colleagues across the business.
- Provide appropriate administrative support to the sales function and, where required, other areas of the business.
- Occasionally support with Instagram enquiries and other social media administration.
- Undertake other reasonable duties appropriate to the role.
Building Your Knowledge
A significant part of your first months with us will be learning how our business works.
We will provide structured training and practical experience to help you develop:
- a strong understanding of our painting and decorating services;
- knowledge of our ideal client and the projects that are the right fit for Paint the Town Green;
- the ability to interpret site information, floor plans, specifications and tender documents;
- an understanding of how our estimates and scopes of work are prepared;
- confidence using HubSpot and our other sales and business systems; and
- the commercial judgement required to support lead qualification and sales follow-up.
As your knowledge and capability develop, we would expect you to take increasing ownership of the estimating and sales coordination process rather than remaining dependent on detailed instruction.
Development
The initial development priority for this role is to become confident and increasingly independent across lead qualification, estimating, CRM management and sales coordination.
Once established in the role, there may be opportunities to take on greater responsibility for areas such as client communication, quote follow-up, sales pipeline management and selected sales activity.
Any future development will depend on individual capability, performance and the needs of the business. It is not an automatic progression route, but we are interested in someone who wants to build their skills and take on greater responsibility as the company grows.
About You
You will be someone who is comfortable dealing with clients while also enjoying the detail and organisation required behind the scenes.
You will ideally have:
- Excellent written and verbal communication skills.
- A professional and confident approach when dealing with prospective clients.
- Strong organisation and attention to detail, particularly when working with quotations, figures and project information.
- Good judgement and the ability to assess, filter and prioritise enquiries against agreed criteria.
- The confidence to ask questions when information is incomplete or unclear.
- A proactive approach and the ability to work independently once trained.
- Experience in a customer-facing, sales support, administration or coordination role.
- Good working knowledge of Microsoft Office systems, including Outlook, Teams, Word and Excel.
- Confidence learning and using CRM and other business systems.
- Experience using social media applications.
Experience of HubSpot would be useful but is not essential.
Previous estimating, painting and decorating or construction experience is not required. We are much more interested in your ability to learn, organise information accurately and communicate well.
An interest in interiors, design, property, construction or architecture would be useful but is not essential.
Hours & Flexibility
We offer flexibility around working hours and are open to discussing a working pattern that works for both the successful candidate and the needs of the role.
Part-time, flexible or non-standard hours may be considered.
