Facilities Manager - Insurance and Contractor Sourcing

The Woodland Trust is looking for a Facilities Manager to lead on insurance, contractor sourcing and supplier relationships across our facilities portfolio, making sure we have the right cover, robust risk management and strong value for money. Working collaboratively across the Trust, you’ll bring good governance and commercial thinking to help us manage risk and protect the organisation.

The Role:

Lead procurement activity across Facilities, insurance, fleet, services and capital works, ensuring robust decision-making, value for money, quality, compliance and sustainability. Manage key contracts and suppliers, including insurance, monitoring performance, compliance, budgets, value for money and sustainability, and lead market-testing activity. Oversee insurance arrangements, ensuring appropriate cover, legal and regulatory compliance, risk management and assurance across the Trust. Develop, maintain and test the Trust’s Emergency Management Framework (EMF), ensuring effective procedures are in place to respond to incidents. Work with colleagues to manage the impact and delivery of capital works supporting decarbonisation at the Trust’s Grantham Office. Maintain accurate records and management information covering contracts, procurement, insurance, expenditure, risks and supplier performance, while ensuring effective customer service. Develop Facilities policies, procedures, guidance and service-level arrangements, while ensuring appropriate contractual and insurance arrangements protect the Trust’s buildings, equipment, vehicles and other assets. This is a hybrid position with a mix of home working and from our head office in Grantham, Lincolnshire. Head office attendance would be required once a month on average. Occasional travel to other offices and remote locations may also be required.

The Candidate:

Experience of managing insurance portfolios and claims, with a sound understanding of risk and related processes. Demonstrable expertise in procurement, including procurement processes, routes to market, tendering and supplier selection. The ability to manage contractors and suppliers effectively, including contracts, service-level monitoring and performance management. A strong focus on value for money and sustainable procurement outcomes. Experience developing and implementing policies, procedures and guidance, including Emergency Management or Business Continuity arrangements. Sound knowledge of health and safety legislation and procedures, ideally gained within a similar facilities or operational environment. Strong IT skills, including Microsoft Word, Excel, Teams and Outlook, alongside relevant Facilities systems. Knowledge or a qualification in Business Continuity, insurance claims or CIPS/equivalent procurement would be desirable.
