Role Summary

  • Managing the Executive Director of Nature Recovery's daily activities, including diary management, planning, and travel arrangements
  • Handling all correspondence, maintaining records and updating the CRM
  • Preparing expense claims, monitoring departmental budgets, and supporting staff recruitment
  • Acting as the department's main point of contact, liaising with both internal and external stakeholders
  • Coordinating meetings, setting agendas, and minute taking as required

Role Requirements

  • Significant administrative experience, especially at Director support level
  • Strong interpersonal and communication skills, with the ability to manage and delegate workload effectively
  • Demonstrated initiative, innovative thinking and problem-solving skills
  • Excellent IT skills, including Microsoft Word, Excel, Outlook, Teams, PowerPoint, and Zoom

The role: As a Personal Assistant to the Executive Director of Nature Recovery, you will manage the Director's day-to-day activity, including diary management, forward planning, travel, daily updates, and ad hoc requests. You will handle incoming and outgoing correspondence, triage actions, maintain records, and update Trust systems, including the CRM. Additionally, you will act as the main departmental point of contact, liaising with internal colleagues and external stakeholders. You will also prepare expense claims, maintain corporate credit card records, monitor and report on departmental budgets, support SLT recruitment, induction, onboarding, and ongoing administration. Furthermore, you will assist the Director in delegating and tracking SLT actions and priorities, coordinate SLT meetings, agendas, and papers, and take minutes as required.

Job requirements: Candidates should have significant administrative experience at Director support level, including managing busy diaries and organizing complex travel and logistics. Strong interpersonal skills, clear, confident, and persuasive communication skills, both internally and externally, are essential. Candidates should be highly self-motivated with strong organizational and planning skills, able to manage workload, prioritize effectively, and delegate when needed. Excellent verbal and written communication skills with strong attention to detail and proven ability to handle confidential and sensitive information appropriately are required. Demonstrates initiative, innovative thinking, and problem-solving skills. Flexible, resilient, and able to adapt quickly and positively to change. Excellent IT skills, including Microsoft Word, Excel, Outlook, Teams, PowerPoint, and Zoom are necessary.
