What will you be doing?

Our Quarterly board meeting usually happen on Zoom (or similar). We are a small team, and it would be really useful to have someone to check, review and circulate the minutes if they are created by an AI assistant, or to take / transcribe them manually if we are meeting in person or they are recorded on Zoom.

This is an important role that will help ensure our meetings are accurately documented, decisions are recorded and actions are followed up, supporting the effective running of our charity.

You don't have to have previous experience of minute-taking, but you will need good listening and written communication skills, an eye for detail and the ability to handle confidential information with discretion.

The role involves both of the following:

Taking meeting minutes – when we meet in person or are not using an AI assistant

  • Attend Board of Trustee meetings – usually held quarterly online, or occasionally in person in Hertford.
  • Listen carefully to discussions and identify key points, decisions and agreed actions.
  • Produce clear, concise and accurate minutes.
  • Record actions, responsibilities and deadlines.
  • Circulate draft minutes for review.

Reviewing AI-generated minutes

  • Review AI-generated meeting transcripts and minutes for accuracy and clarity.
  • Check that key discussions, decisions and actions have been correctly captured.
  • Correct errors, omissions or misunderstandings.
  • Ensure the minutes are clear, concise, impartial and professionally presented.
  • Check that confidential or sensitive information is handled appropriately.

What are we looking for?

About you

Essential skills you can offer:

  • Able to maintain confidentiality and handle sensitive information appropriately.
  • Good written English and communication skills.
  • Excellent attention to detail and accuracy.
  • Good listening and organisational skills.
  • Reliable, methodical and able to meet agreed deadlines.
  • Confidence using Microsoft Word, Google Docs or similar.
  • A professional, impartial and discreet approach.

Desirable skills

  • Previous experience of taking minutes or administrative support.
  • Experience of working with or checking AI-generated content.
  • Familiarity with charity governance or Board of Trustee meetings.
  • An interest in the world of Yoga and Holistic Therapies, so you have a good frame of reference

What difference will you make?

What difference will you make?

We are a small charity with a big vision. The support you provide to our organisation  will strengthen how much we can do for our beneficiaries by ensuring there is enough income to keep doing what we do. In short – your contributions will make a huge impact to everyone involved with The Secret Space.

What's in it for you?

You can give something back to our local community from within a small friendly organisation, while using and developing your administrative and communication skills.   You'll also have the chance to gain insight into how a charity operates and is governed.

The Secret Space is a strong community, made up of staff, volunteers, teachers, therapists, and counsellors and including members of the public for many of  whom coming here feels like being part of a family.

Our vision is about changing people’s lives. We want everyone in the local area to know about The Secret Space and visit us, either as a client or volunteer. As a volunteer you will get to be part of that circle,  and help to make it flourish, making a real and lasting difference in people’s lives.

Anything else...

Our meetings are usually held 1st thing in the morning, before the working day commences.
