The role of Personal Assistant is wide and varied and your responsibilities will evolve from the activities outlined below.   

What will I be doing?

  • Manage CEO’s inbox
  • Deal with CEO Admin
  • Project Manage tasks on ad-hoc basis
  • Be comfortable leading / delegating & resourcing tasks
  • Extensive and complex diary management for the CEO
  • Taking calls on behalf of and managing for the CEO
  • Building up prospective investor lists and managing all investor communications
  • Organising video / audio / podcasts , suppliers for filming days
  • Organising and managing community events (with invited guest speakers)
  • Organising and managing CEO's time as Guest Speaker at relevant events
  • Organising and managing CEO's time as Guest in various shows/podcasts
  • Organising and managing CEO's newspaper interviews etc
  • Arranging & facilitating internal & external meetings
  • Dealing with expense claims
  • Discovering new opportunities to increase CEO's engagement with potential customers
  • Building up prospective investor lists and managing all investor communications
  • Managing social media profiles
  • Translating documents / invoices / outside communications with suppliers between English and Spanish
  • Attending all board meetings and taking minutes for distribution to the Board of Directors
  • Reporting to our investor base quarterly updates on the state of the business

Requirements

  • Minimum 3 years experience in a similar role
  • Good IT skills, including the use of the Microsoft Office suite/ Google Docs
  • Experience with Social Media, Digital Marketing essential
  • Excellent communication skills, both written, verbal and fast typing / dictation.
  • Excellent organisational skills, with the ability to prioritise a busy workload effectively, ensuring all tasks are completed on time in a fast paced environment
  • Ability to talk confidently with founders and high-profile individuals.
  • Track record of self-driven side projects.
  • Ability to work on their own initiative
  • Experience in sales or events
  • Ideally social media management experience
  • Very High quality/Fluent English - written and spoken
  • Spanish speaking helpful
  • Ability to work from the office in Palma
