Job summary:

As a People & Culture Intern at South Pole, you will play an essential supporting role within our P&C team, contributing to global People operations that cover the full employee life cycle. Your responsibilities will include partnering with the wider team to ensure seamless execution of processes while maintaining strict compliance with employment laws, regulations, and company policies worldwide. While the role is administratively focused, you will thrive in our fast-paced, scale-up environment. This means the role will be challenging and dynamic, requiring you to continually elevate the standard of excellence in your daily work.

Main tasks & responsibilities:

The intern will be involved in supporting the end-to-end employee life cycle and the key P&C initiatives across all operating regions.


1. Core People Operations & Lifecycle Management Support

Onboarding & Offboarding Assistance:


  • Contribute towards the onboarding process for new hires, helping to ensure a smooth transition into the company.
  • Assist in preparing documentation for new hires, including employment contracts and other necessary onboarding documents.
  • Support offboarding procedures by helping to process required documentation and gather necessary information.

Documentation & Compliance:


  • Assist in organizing and maintaining accurate employee files, ensuring all documentation strictly adheres to legal, regulatory, and company policy requirements.

  • Help track changes in local labour laws and regulations and support the update of HR policies accordingly.
  • Prepare documents and reports related to the employee's life cycle for seniorPeople Operations colleagues.
  • Assist in ensuring all activities are compliant, and proactively escalate complex issues to Senior People Operations colleagues where needed.


2. Compensation & Benefits Coordination Assistance

Payroll Support: Assist in preparing and coordinating monthly payroll data, focusing on data accuracy.

Benefits Support: Support the implementation and ongoing administration of benefits.

Global Mobility Support: Assist in gathering requirements for global mobility and help maintain accurate employee records.

Leave of Absence Support: Support the administration of leave of absence requests in line with local legislation.



3. Employee Experience & Inquiry Assistance

Ticket Resolution: Serve as a point of contact for basic employee inquiries (ticket resolution) and provide assistance with HR policies and procedures when self-service is insufficient, escalating complex issues as needed.

Work Environment: Contribute to the execution of employee engagement activities and internal communication efforts to foster a positive work environment.



4. Talent & Project Contribution

L&D and Performance: Assist in coordinating and implementing learning and development initiatives (including logistics and material preparation) and support performance management cycles (e.g., tracking reviews and organizing documentation).

P&C Projects: Support various cross-regional P&C projects encompassing diverse areas such as People Ops, Compensation & Rewards, and Talent initiatives.

Knowledge Management: Assist in maintaining and updating our People policies, processes, and associated knowledge documents.

Requirements:


  • Currently pursuing or recently completed a Bachelor’s degree in Human Resources Management, Business Administration, or a related field.
  • Exceptional interpersonal and communication skills (both written and oral) in English.
  • Strong organizational abilities with attention to detail and a commitment to accuracy.
  • A proactive and self-driven approach to work, with a proven ability to take initiative
  • Demonstrated ability to handle highly confidential information with discretion and a strong understanding of professional ethics and company policies.
