Executive Assistant & Bookings Manager

To Katherine Templar Lewis (Neuroscientist and Presenter) & Sam Conniff (Entrepreneur and Author)

Location: Hybrid – London-based with regular remote

Salary: £80k OTE (£40k base + 10% speaker revenue bonus + training budget)

Start Date: As soon as we find the right person

The Role in a Line

Support two busy, creative professionals — who are also life partners and parents — as they grow their speaking careers, businesses, and public profiles, while managing time, energy, and opportunities with care.

This role combines high-level executive support with speaker bookings management. It’s about protecting time, creating calm, building systems, whilst we balance a dynamic family life with an exciting and fast paced work life. Helping us do more of what we do best — while doing less of what slows us down.  

Who You’ll Be Working With

We’re Katherine Templar Lewis and Sam Conniff — partners in life and work. We’re authors, presenters, entrepreneurs and professional speakers, working at the intersection of science, storytelling, mental health, creativity and uncertainty.

We’re in an exciting phase of growth, with new books, campaigns, events and partnerships coming up. We’re looking for someone who can help us stay focused, organised and prepared — while building strong relationships with the people and organisations we work with.

What the Role Involves

Executive Assistant – Time & Profile Management

  • Calendar and diary management — coordinating meetings, events, deadlines, and national/international travel
  • Inbox triage — monitoring shared inboxes, ensuring all emails are acknowledged, delegated, or actioned
  • Provide general admin support so we can keep focused on what matters most, and out of the weeds
  • Supporting content planning, social media scheduling, and public profile building
  • Helping us stay visible — without getting stuck in self-doubt or distraction
  • Assist with lifestyle management — from booking appointments and making reservations to managing personal errands and logistics

You’ll be:

  • Confident using Google Workspace and other online tools
  • Discreet, truthworthy and able to handle confidential information
  • Highly organised, with strong attention to detail
  • Tech-savvy and able to work autonomously with minimal oversight
  • Comfortable coordinating complex logistics and navigating shifting priorities

Bookings Manager – Speaker Coordination & Growth

  • Managing all incoming speaking requests and client communication with professionalism and care.
  • Track leads and proactively follow up to convert interest into booked engagements.
  • Creating and sending proposals, coordinating logistics, handling contracts
  • Working with speaker bureaus, producers, comms teams and event organisers
  • Ensuring smooth delivery — from initial briefings, speaker admin, and tech checks to thank-you notes and follow-ups. This includes sending out updated speaker packs, invoicing, follow-up for assets and leads, as well as support across the talk itself, many of which are interactive and involve some back-end data management via Typeform. In some instances, additional support will be needed managing data collected during more interactive talks.
  • Updating speaker assets (bios, showreels, websites), tracking performance and sourcing and exploring new opportunities

The Ideal Candidate

We’re looking for someone experienced, dependable and clear-headed — who brings a calm, methodical approach to a fast-paced and varied role. Ideally, you have experience in one or more of the following:

  • Executive support for public-facing professionals
  • Speaker or talent bookings and management
  • Events, communications or creative production

You don’t need to be in the spotlight, but you’re confident behind the scenes. You write clearly, communicate well, and know how to manage people’s time and priorities without drama. You have a natural sense of what needs doing, and you’re happy to get on and do it.

You’ll likely thrive in this role if you:

  • Google Suite (for everything)
  • Zoom, Calendly, Power Point, Microsoft Office, LinkedIn, Docusign, GPT, Typeform, Canva
  • Xero (for finance and expenses)

What We’re Offering

  • £40k base salary
  • 10% commission of all speaker fees (paid quarterly) — typically totalling £80k–£100k OTE
  • (Our average combined speaker fees over the last 3 years have been around £450k — with room to grow.)
  • 30 days annual holiday, taken flexibly with suitable notice (incl bank holidays - 2 days over statutory)
  • £2,500 per year personal development budget — yours to direct as you choose
  • Hybrid working — with up to 4 in-person meetings per month in London
