Shoreditch &Soul is a vibrant community space in the heart of Shoreditch, dedicated to fostering connection, personal growth and transformation. The Villa’s at Shoreditch &Soul will be home to 72 members and we are seeking an experienced Property Administrator to oversee the end-to-end customer journey, from progressing member applications through to their departure. This is a dynamic, multifaceted role ideal for someone who thrives on providing exceptional service, takes pride in their organisational skills, and is aligned with our values of integrity, care, and hospitality.
Key Responsibilities
- Progressing member applications, including reference checks and credit reports
- Preparing and issuing Tenancy Agreements, ensuring that documents are signed within timely manner
- Liaising with members during their onboarding, providing them with accurate information and responding to any queries
- Maintaining accurate member records, including entry into CRM/PMS software for member contact information, sales invoices, sales credits/discounts, and payments
- Managing key inventory system, including logging key issuance, returns, and replacements. Ensuring secure storage and restricted access to all property keys and access fobs
- Supporting the General Manger, Head of Curation and Finance teams with additional administrative duties as and when required.
- Working with housekeeping and front of house, to ensure rooms are prepared and key handovers are scheduled
- Overseeing member arrivals and departures, including conducting check-ins, inventory checks, returns of deposits, and check-out procedures.
- Managing the inbound mailbox , ensuring that member requests and queries are responded to professionally and resolved within agreed SLAs
- Coordinating all repairs and replacements before, during and after tenancies. Coordinating visits with members, ensuring that appropriate access has been received
Requirements
- Previous experience within a property management / lettings administration role
- A good understanding of current lettings legislation
- Strong multitasking and time-management skills in a fast-paced setting
- Exceptional attention to detail and outstanding organisational ability
- Excellent written and verbal communication and interpersonal skills
- Confident with computer-based systems and online platforms
- Flexible and adaptable with hours and responsibilities
