We are looking for a Tuition Administrative Assistant to join the Targeted Provision team on a permanent and hybrid basis, offering administrative support to our team of Education Coordinators and helping to facilitate our mission of raising the minimum standard of support offered to the UK’s vulnerable learners.

At Targeted Provision our mission is to raise the standard of educational support offered to vulnerable young people in the UK.

We work with schools and local authorities to provide specialist tutors and mentors for children and young people with additional educational needs.

We also support mentoring and engagement / re-engagement for young people in need of Alternative Provision.We believe that with the right support and role model in their lives, every child can grow in confidence and succeed in learning.

The Tuition Administrative Assistant role

In this role you will be supporting the placement of tutors and education specialists with children and young people who have been referred to our team of Education Coordinators by local authorities and schools. You will be providing our Education Coordinators with additional capacity by managing data entry and quality; phone lines, inboxes, and communication; and some elements of the tutor placement process.

Young people are referred to us for a variety of reasons, including but not limited to; Special Education Needs and Disabilities, they are looked after and have recently moved to a location where a school place is not readily available, they have emotional, behavioural or mental health needs.

Data:

  • Assisting with data entry and database management to ensure accurate and up-to-date records of referred children and young people and support provided
  • Chasing missing information from external stakeholders, such as schools and Local Authorities

Communication:

  • Answering calls on multiple phone lines, fielding questions and managing enquiries
  • Supporting with team communication, ensuring key updates are shared and logged within our internal wiki and information board
  • Assisting with the management of the team inbox
  • Organising mass emails to external stakeholders

Placement:

  • Responding to inquiries and conduct preliminary tutor searches to scope out an area
  • Supporting the team with the set-up of referrals, including uploading of information and liaising with LA contacts, schools, parents / carers, tutors and education specialists
  • Keeping up-to-date with developments in the education sector, particularly in relation to special educational needs and disabilities, and contributing to the ongoing improvement of our tutor placement process

Administration:

  • Providing administrative support to the tutoring team as needed, including scheduling meetings, drafting correspondence, and preparing reports
  • Provide cover for the team whilst they are away, most notably covering inboxes

You

We’re looking for someone who is passionate about education and the impact we can have on the lives of young people. You’ll be keen to get stuck in, learn quickly, and take on new challenges. A high level of emotional intelligence is essential. Experience in education and an understanding of the sector and the current state of educational provisions for young people with SEND and Looked After Children would be an asset in this role.

Required:

  • Demonstrable interest in the education sector and commitment to changing the lives of vulnerable young people.
  • The ability and desire to work in a fast-paced environment
  • Experience in a role managing multiple stakeholders
  • Excellent communication and interpersonal skills
  • Excellent organisation and attention to detail
  • Excellent written and verbal communication skills
  • IT literacy and the ability to learn and adapt to new systems

Desirable:

  • Knowledge and understanding of safeguarding in education
  • Experience in working for / with local authorities
  • Knowledge of special education needs
  • Experience delivering excellent customer service
  • Experience using Trello, Airtable, Front or similar CRMs
