The role
We're seeking an exceptional Operations Executive to join our growing coaching platform and help drive our mission forward.
About the Role: As our Operations Executive, you'll be the backbone of our customer service operations, ensuring smooth day-to-day functioning while continuously improving our processes. Reporting to the Operations Manager, you'll play a crucial role in supporting our coaching community and clients.
Reporting to: Customer Happiness Manager / Operations Manager
Key responsibilities:
- Lead customer service operations, providing responsive and solution-oriented support
- Manage operational tasks including sales support, contract creation, and booking coordination
- Optimise calendar management and scheduling systems for our coaching network
- Streamline and document operational processes to increase efficiency
- Identify and implement automation opportunities, particularly leveraging AI tools
- Support the Operations Manager in various administrative and project-based tasks
About you:
- You have exceptional organisational skills with a meticulous attention to detail
- Thrive on simplifying complex online processes and creating efficient systems
- Demonstrate a proactive approach to problem-solving
- Maintain a growth mindset and eagerness to learn new technologies
- Have a natural affinity for customer service and clear communication
- Show enthusiasm for AI and automation tools to enhance operational efficiency
- Flourish in a startup environment with an experimental mindset
- Take initiative in learning and problem-solving
- Have a digital-first mindset and enjoy building automated workflows
Technical skills:
- Comfortable using or quick-to-learn essential tools like Hubspot and Notion
- Ability to understand and integrate various software systems
- Experience in creating and optimising digital workflows
- Strong aptitude for learning new technical tools and platforms
What makes you stand out:
- Experience working in a start-up environment
- Previous experience in online operations, customer service, or administrative roles
- Previous experience using Hubspot and Notion
- Demonstrated ability to improve processes and implement new systems
- Experience with CRM systems and productivity tools
- Knowledge of AI tools and their practical applications in operations
- Strong project management skills
