Head Set Studio is looking for a purpose-driven Operations & Finance Manager to oversee our growing operations and manage our financial activities. Our ideal candidate will have at least 5+ years experience working with small businesses or start-ups in financial and operational positions, including experience in supporting fundraising activities, investor reporting, KPI management, financial modelling and basic accounting. There is a possibility to continue with Head Set beyond this maternity cover position, specifics to be determined.

Our high quality interactive VR training is currently focussed on the media and humanitarian sector, but we are scaling quickly to other commercial clients. Your mission
The position offers a chance to join a start-up in an exciting growth phase and help the business meet its operational goals. You’ll be working from home while collaborating with an entirely remote, global team, so you should be comfortable using tools such as Slack, Zoom, Miro, Canva, Google Drive and Monday. Your working hours will be flexible, however you will be expected to attend a short daily standup meeting online. This position would be ideal for a parent or someone who is looking for a family flexible work environment.
Your responsibilities
Finance & Reporting
- Work closely with the founders to optimise and oversee financial and operational resources
- Oversee and feed into financial modelling and forecasting reflecting changing business conditions
- Provide guidance on pricing of strategically important and/or new deals and calculate corresponding project cost
- Manage and monitor cash flow
- Manage all invoicing and payment activities
- Liaise with accounting to ensure company books are up to date and accurate at all times
- Ensure timely and accurate reporting of efforts and cost to grantors and project donors (e.g. Innovate UK)
- Ensure timely and accurate investor reporting
- Monitor and report financial and operational KPIs to external and internal stakeholders
Operations
- Manage company fleet of VR headsets (~10) in the UK and US and ensure their timely delivery for demos and course activities. This includes booking UPS shipments and couriers. You will need to be willing to store a dozen VR headsets at home at any one time.
- Manage course and training activities and all corresponding logistics, planning and feedback in alignment with other team members
- Point of contact for our trainers and subcontractors for all matters concerning course logistics, contracts and invoices
- Support company HR activities
- Oversee IT policies and ensure data protection compliance and system access security
- Implement and own internal processes that allow Head Set to scale and operate smoothly and efficiently at all times
Essentials
- Permission to work in the United Kingdom
- Proven ability to oversee and manage financial operations of small businesses
- 5+ years of experience working with small businesses or start-ups in operational and financial positions
- Ability to deliver in fast-moving environments and to adapt to rapidly changing business needs
- Extremely organised and able to work in an independent, structured and proactive way
- Set up and happy to work entirely remote with access to all necessary hardware (laptop, mobile phone)
- Goal oriented with a positive 'can do' attitude
- Fluent in written and spoken English
