Project Coordinator, TED Audio
TED is seeking a Project Coordinator to join the Audio team in the New York office. The Audio team oversees the podcasts in the TED Audio Collective.
The Project Coordinator leads the overall planning, progress, status reporting, and follow-up of podcast production to ensure project goals and objectives are met within the agreed upon time, scope, and resource requirements.
The PC is the liaison between the Audio team and TED’s external production teams for the development and execution of podcast and audio projects. The PC provides ongoing support to the Audio team, ensuring seamless execution of plans to meet established deadlines and creative briefs. The PC will report to the Director of Production.
The ideal candidate can easily keep track of multiple projects at once while fielding new requests. They are proactive and identify potential bottlenecks in the schedule.
Mostly focused on the logistics of production, this person will also have a hand in the programming of TED Collections content. They’ll help to select and clear fact-check for talks from our library of content in collaboration with the editorial and research teams.
Responsibilities include:
- In coordination with TED Audio team leads (Director of Audio, Director of Production, Director of Programming), lead project planning for podcast and audio production
- Facilitate meetings with stakeholders and vendors
- Own the programming calendars for TED Collections podcasts (TED Health, Business, Tech, Climate, Kids & Family)
- Manage the calendar by working with TED’s editorial team to curate interesting new and archive TED Talks and collaborating with the programming manager to highlight other podcast episodes from across the collective
- Coordinate with TED research to ensure talks are fact-checked
- Develop and maintain systems to establish effective workflows, communication, and increased efficiency
- Provide administrative support to Director of Production on specific projects and shows
- Manage all internal deadlines
- Create and maintain an overall prioritized project schedule
- Conduct regular project status meetings both within the team and with key stakeholders
- Establish and grow strong relationships with internal teams and vendors
- Help provide quality assurance for assets
- Work closely with distribution and marketing teams to ensure all parties are informed and have all the assets and information needed
- Pre-plan for heavy work periods and manage and track change requests
- Run debriefs after major projects to identity wins, misses, and areas for improvement
- Miscellaneous tasks and projects as needed
Qualifications:
- Prior experience managing the end to end creative process, including print and digital
- Understanding of the creative workflow of graphic design, branding, digital photography, motion graphics, and illustration
- Dedication to a collaborative working environment
- Proactive and strategic problem-solving skills
- Excellent time-management skills
- Confident negotiation and excellent listening and communication skills
- Commitment to and deep understanding of the creative process
- Strong proficiency with Airtable
- Bachelor’s degree required
