As Chief of Staff, you will provide critical support to the executive team, primarily focusing on leading project management activity. You will be responsible for ensuring the smooth operation of the company by effectively managing the CEO's activities, coordinating projects, and facilitating communication across various teams.You will also be involved in legal and investor-related activities, ensuring compliance and facilitating effective communication with stakeholders. This position offers a unique opportunity to gain exposure to diverse aspects of the business and contribute to the company's growth.


Project Management:

  • Lead and manage projects from initiation to completion, ensuring adherence to timelines, budgets, and quality standards.
  • Collaborate with cross-functional teams to define project goals, deliverables, and key performance indicators (KPIs).
  • Create project plans, track progress, and identify and mitigate risks and issues.
  • Coordinate project-related meetings, facilitate discussions, and ensure action items are assigned and followed through.
  • Regularly report project updates to the executive team and stakeholders.

Process Improvement:

  • Identify areas for process improvement and propose solutions to enhance efficiency and productivity.
  • Collaborate with team members to streamline workflows, standardize processes, and implement best practices.
  • Continuously monitor project progress and identify opportunities for optimization.
  • Assist in documenting and updating standard operating procedures (SOPs) and guidelines.

Legal and Compliance:

  • Assist in legal matters to ensure compliance with relevant laws and regulations.
  • Help review and draft legal documents, contracts, and agreements.
  • Conduct legal research and provide recommendations on legal issues affecting the company.
  • Maintain an organised system for storing legal documents and information.
  • Support legal due diligence processes for various activities, such as partnerships or acquisitions.

Investor Relations:

  • Assist in managing investor relations activities, including communication and reporting.
  • Support the preparation of investor-related materials, such as presentations, reports, and financial statements.
  • Coordinate investor meetings, roadshows, and investor-related events.
  • Collaborate with the finance team to provide necessary information for investor reporting and compliance.
  • Maintain a database of investor contacts and manage investor communication channels

Communication and Coordination:

  • Facilitate effective communication and collaboration among team members, departments, investors, and external stakeholders.
  • Coordinate and schedule meetings, workshops, and other project-related events.
  • Prepare meeting agendas, capture minutes, and distribute relevant documentation.
  • Serve as a central point of contact for project-related inquiries, providing timely and accurate responses.
  • Assist in creating and maintaining project-related documentation and knowledge-sharing platforms.

Administrative Support

  • Provide comprehensive administrative support to the executive team, including calendar management, travel arrangements, and expense tracking.
  • Prepare and proofread reports, presentations, and other materials for internal and external use.
  • Assist with data gathering, research, and analysis to support decision-making processes.
  • Maintain confidentiality and handle sensitive information with discretion.


  • Bachelor's degree in a relevant field (Business Administration, Project Management, or related disciplines).
  • Knowledge of German preferred
  • Previous experience in project management, preferably in a startup or fast-paced environment.
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Excellent communication and interpersonal skills, with the ability to collaborate with diverse stakeholders.
  • Proficiency in project management tools and software
  • Detail-oriented mindset with a focus on delivering high-quality results.
  • Ability to multitask and handle multiple projects simultaneously.
  • Strong problem-solving skills and the ability to adapt to changing priorities.
  • Resourcefulness, initiative, and a proactive approach to overcoming challenges.
  • Familiarity with agile project management methodologies is a plus.
