Overall Responsibilities:

We may look like a creative tile and product design company but actually what drives our business and enables our creativity is the systems and data behind the scenes.

You will be responsible for managing and optimising all of Balineum’s existing (live) product data as well as working on new product launches. Ensuring all clients, salespeople and suppliers have accurate product information in order to do their jobs.

We use a single system called Bright Pearl to run our business: it contains and manages all of our data for customers, products, sales, suppliers, purchases, stock, accounting and shipping. It integrates with our Shopify website.

Required Skills:

• Excellent excel skills. You must know how to use filters, sort functions and work with equations like concatenate and vLookup

• You must be comfortable and experienced creating, replicating, and organising large bundles of data

• Very confident with CSV imports, exports, modifying sets of data

It would help also if you have experience:

• Working with accounting software or ERP system

• Product buying or product management

Your comfort with data, computers, excel and a methodical approach to tasks is the most important element in this role. It is not critical to have worked in product management or with bathroom related products previously. We can train you in our specific products and the systems we have in place.

Specific Responsibilities:

We like to work in a clear and systematic way. Here is a thorough list of role’s responsibilities, it includes both frequent and infrequent tasks.

Existing Product Data Management:

• Managing and updating product descriptions, weights, custom codes and other key information in our ERP system (Bright Pearl) to ensure they are accurate

• Pricing updates: In our ERP - In excel spreadsheets for our tile collections

• New Products: Set up all new products in our system and ensure accurate data - Weights, sizes, descriptions, images, product codes, pricing etc

• Arrange photography with an established photography team

• Name & save all images in relevant shared folders. It would help to have an understanding of Photoshop but we can train you in this

• Liaise with Creative Director and external graphic designer on new catalogue designs and structure (we use InDesign for creating our product catalogues, if you

don’t already know this program, we can train you in it)

• Liaise with graphic designer on existing product catalogue updates and modifications

• Update products on the website (infrequent)

• Manage the check list of steps for all new product launches

Samples:

• Ordering samples (with sales team) and maintaining adequate stock for samples

• Receiving in and correctly labelling samples

Sales Support:

• Helping, guiding, training, and developing tools for the sales team to most effectively do their job and that clients clearly understand our offering. This includes maintaining:

• Catalogues & price lists

• Folders with images of installed projects for sales support

• Cleaning, care and installation instructions

• Common questions and product information

• Constantly evaluate systems and information with sales team to ensure they have accurate product information and understanding in order to do their role.

Website:

This is infrequent. Our website is essentially a catalogue: less than 10% of our sales are processed via our website. Website work may include:

• Update website descriptions or images

• Add sale items to website (using csv import)

Marketing & PR Support:

This is infrequent, but includes:

• Giving product information and images to our PR and journalists as requested

• Sending out our Design Notes email each month using Mail Chimp (written by our editor)

• Update email list after bounce backs

Stock:

Facilitate annual stock count with team

Sales & Client Work:

• As part of your onboarding training, you will do client sales as well as checking and packing client orders so you understand the full cycle of the business

• As a small company – everyone in the business helps out with answering the door, phone calls, packing boxes – so there will be some element to this to your role. We all chip in across a range of tasks, but you can expect 90% if your time will be Product focused.
